    Title: Associate Director

    For Fiscal Year: 2025

    Job Description: The Associate Director oversees all year-round administrative operations and supports program managers in developing and achieving strategic and budgetary goals. The Associate Director collaborates with the Executive Director to advance organizational development initiatives guided by the Executive Director and Board of Directors.

    Reports to: Executive Director

    The primary objectives for WFCF will be achieved as a concerted effort by staff and with oversight by the Executive Director, and as outlined in the 2022-2024 Strategic Plan. The primary objectives for WFCF include the following and will be further refined in our vision and strategic plan process for 2025-2027.

    • Expand and diversify profitable, predictable revenue streams to reduce pressure on the CSA program and farmland.
    • Extend our roots in the local community to secure and amplify our reach.
    • Simplify organizational activities and infrastructure to make it easier to sustain our mission.

    Major Areas of Responsibility

    • Oversee day-to-day administrative functions to support efficient organizational operations.
    • Directly supervise year-round team members in alignment with Executive Director: Farmstand & CSA Manager, Administrative Coordinator, Education Director, Community Volunteer Coordinator
    • Support the planning and execution of programming and fundraising efforts in alignment with organizational goals and budget priorities.
    • Oversee hiring, training and performance management of the above program managers.
    • Act as an organizational ambassador for volunteers, visitors, seasonal farm staff, and community partners.
    • Promote the mission and programs of Waltham Fields Community Farm within the City of Waltham and neighboring communities,

    Specific Responsibilities

    • Recruit, hire, discharge, train, mentor, and promote year-round staff.
    • Uphold organizational policies and maintain alignment with WFCF’s mission.
    • Revise job descriptions and job offers for the Executive Director’s review and approval.
    • Announce employment opportunities in agricultural and food-related websites and listservs, striving to reach a diverse population.
    • Coordinate and conduct interviews for prospective job candidates.
    • Oversee onboarding, training, and supervising of year-round team members and onboarding of seasonal team members, including the completion of new-hire forms and handbook information sessions.
    • Audit educational and CSA programs to gain familiarity and provide feedback during weekly check-in meetings and annual reviews.
    • Conduct annual performance assessments for the Farmstand & CSA Manager, Administrative Coordinator, Education Director, and Community Volunteer Coordinator.
    • Manage and provide training for the Neon CRM database; generate reports.
    • Lead content creation for the Farm Friends Newsletter; encourage community voices & involvement through innovative opportunities.
    • Coordinate content for quarterly dashboard report to WFCF Board of Directors.
    • Engage with one Board Committee (TBD) as the team representative, attending monthly committee meetings, and quarterly Board meetings.
    • Support the Annual Appeal (editing content and social media implementation).
    • Actively contribute to the success of fundraising and friendraising events with energy and enthusiasm
    • Support the Development Director with grants proposals (objectives, progress reports)
    • Support the organization's annual budget process, planning with program managers, refinement of program budgets, and updating annual operational expenses.
    • Aggregate time sheets, track requests for time off, process payroll with payroll processing company.
    • Apply for municipal permits and attend municipal meetings as needed.
    • Support strategic planning and expansion of diverse revenue streams.

    Required Knowledge, Skills, and Abilities

    • Three years of experience in supervising and mentoring employees with a proven ability to evaluate skills and lead activities effectively.
    • Ease with public speaking, conducting meetings and leading tours.
    • Experience in organizational budgeting and managing financial assets.
    • Strong ability to craft engaging content for websites, social media, newsletters, marketing, and internal communications.
    • Eager learner, analytical thinker, with a strong ability to solve problems and make informed decisions.
    • Proactive and independent, able to work effectively both solo and within a team, while remaining flexible to shifting priorities.
    • Ability to cultivate empathy while demonstrating confidence in decision-making.
    • Efficiency using Quickbooks, MS Office, G-Suite, and proven experience working with CRM systems.
    • Associate Degree, Bachelor Degree, and/or three years of experience in program management, staff supervision, and working within a non-profit.
    • Willing to adjust work hours, including evenings and weekends, to accommodate events, programs, and organizational requirements.

    Terms of Employment

    Each year, employees are required to provide necessary documentation including, but not limited to, a copy of their driver’s license, documentation for the I-9 form, and a CORI background check.

    This is a full-time, exempt (salaried) annual position, with specific hours per week varying according to farm and organizational needs. Generally, the position will average 40 hours per week, Monday-Friday, over the course of the year, and will respond to seasonal events and staffing needs.

    • Health and dental insurance plan participation available, 90% employer contribution for insurance coverage for eligible employees, dependents, spouse and family, 10% employee contribution.
    • Retirement plan contribution of 2-5% of annual salary (see eligibility requirements)
    • $1,000 Health Stipend if opting out of WFCF Health Insurance Benefit (health care stipends are a taxable employee benefit, and considered taxable income for the employee)
    • $150 cell phone stipend, and $200 professional development stipend
    • Annual Paid time off: 20 paid vacation days (accrued on the last day of the month at 1.67 days month), accrued sick days based on 1 hour/30 hours worked - up to 40 hours/year, provided in a lump sum of 40 hours at the beginning of the benefit year, 3 personal days, and 14 floating holidays, all subject to prorating upon acceptance or resignation of employment.
