    Job Summary: Project Coyote seeks an organized, detail-oriented, mission-driven Development Operations Coordinator (DOC) to support our growing fundraising and donor engagement efforts. As a member of our Development team, the DOC plays a key role in maintaining clean, consistent data in EveryAction CRM, leads timely and accurate gift processing and acknowledgments while supporting proactive and responsive donor stewardship. The DOC also coordinates grant tracking and reporting utilizing Instrumentl and assists with researching potential grant opportunities.

    This role is ideal for a motivated development professional who thrives in a collaborative, fast-paced environment and is eager to play a central role in sustaining and expanding support for Project Coyote’s mission. The DOC will work with leadership and program staff to strengthen our donor and foundation relationships, ensure accuracy in data and financial reporting, and enhance financial and fundraising systems and strategy.

    We are looking for a detail-oriented individual who brings strong organizational skills, excellent writing ability, relationship-building skills, and a passion for wildlife conservation to help drive our development efforts during a time of strategic growth.

    Responsibilities:

    Donor Data & Gift Processing: 35%

    • Maintain accurate and up-to-date donor records in EveryAction CRM, ensuring data integrity, timely data entry, and consistent coding standards.
    • Process all incoming donations and ensure timely acknowledgments, while maintaining and updating donor acknowledgment templates and automated messaging systems.
    • Coordinate with the finance team to support gift reconciliation, ensuring accurate recording of donations, and notification of incoming gifts and grants.

    Donor Stewardship & Communications: 35%

    • Support the organization’s stewardship efforts by executing thoughtful, timely, and personalized donor communications that express gratitude, demonstrate impact, and strengthen relationships with supporters. This includes drafting acknowledgment letters, preparing donor updates, assisting with newsletters, and helping create materials that reinforce donors’ connection to our mission.
    • Assist with fundraising campaigns, including direct mail, email appeals, and online giving initiatives.
    • Coordinate logistics for fundraising events (in-person and virtual), including invitations, RSVPs, and follow-up.
    • Respond to general donor inquiries and requests.

    Grant Support & Prospect Research: 20%

    • Identify and research prospective foundations in Instrumentl and oversee grant tracking and reporting. Assist with drafting grant proposals with support from leadership and program staff.

    General Operational Support: 10%

    • Support expense tracking and assist with preparing and submitting payment requests in coordination with the finance team.
    • Maintain expense reports, tracking documents, and vendor records.
    • Provide occasional internal operational support to staff.

    Skills, Qualifications & Experience:

    • 3 - 5 years of experience in fundraising, donor stewardship, and nonprofit administration, with grant experience a plus.
    • Ability to manage multiple projects concurrently, meeting deadlines and prioritizing tasks.
    • Excellent attention to detail.
    • Excellent writing, editing, and proofreading skills.
    • Excellent verbal communication skills.
    • Proven ability to work both independently and in a collaborative environment.
    • Proficiency or the ability to quickly become fluent in new digital platforms, including Google Drive, Asana, EveryAction, Instrumentl, and Slack.
    • Knowledge of or experience in conservation, animal/environmental protection, or related fields is a bonus.
    • A degree in public administration, philanthropy, or a related field is preferred, but equivalent direct experience will also be considered.
