    Description

    Portland Japanese Garden – a 501(c)(3) non-profit in Portland, Oregon – is hiring for a Full-Time IT Manager. Are you passionate about using technology to make a meaningful impact? As the IT Manager, you won’t just maintain systems—you’ll shape the digital foundation that empowers 21 departments across our vibrant organization to do their best work. This is a pivotal leadership role for someone who thrives at the intersection of strategy, service, and innovation.

    The IT Manager is responsible for organizing, guiding, and fulfilling all IT needs in working with two coordinator-level associates. Responsibilities include hardware and software procurement and inventory, management of IT staff, strategy development and implementation, and ensuring general IT support tickets are met with a superior level of quality, service, and effective communication. The IT department is a service department, meaning it serves the IT needs of the organization’s 21 departments.

    Sitting within the Brand and Innovation Department and reporting to the Director of IT, this role is ideal for someone who is excited by the challenge of bringing people and systems together to support a mission-driven institution. This position works from the primary Garden campus, located at 611 SW Kingston Ave.

    Primary Duties

    Day-to-day responsibilities

    • Manage a team of 2 IT Technicians to complete day-to-day IT support ticket requests. Strategically prioritized problem-solving to ensure that critical IT functions (e.g., POS) remain operational.
    • Regularly communicate solution plans and estimated timelines to key stakeholders
    • Management, administration and maintenance of all LAN/WAN networks and Sonicwall Firewalls including 3 offsite locations with site-to-site VPN tunnels, knowledge and experience in management of all LAN networking protocols required (DNS, DHCP, VLAN etc).
    • Train and support IT staff to exemplify the spirit of Omotenashi towards other departments
    • Supervise, schedule, manage, and evaluate IT staff
    • Report daily/weekly progress to Director of IT to ensure department expectations are executed
    • Set an excellent example of work ethic, judgement, and concern to direct reports and other members of department
    • Budget for, purchase and inventory hardware and software for various departments
    • Offer technical advice to other departments, when requested (see note above)
    • Ongoing administration, backup, and maintenance of onsite host Microsoft servers and all associated virtual machines, as well as any onsite hosted software platforms
    • Maintenance and management of hybrid Active Directory Domain, you should have experience and feel comfortable fully administering an AD Domain
    • Management of local NEC VoIP system, end user settings and phones
    • Exhibit and project an attitude for excellent customer service, teamwork, attention to detail, and knowledge

    Strategy and Development

    • Updating and execution of the IT Strategic Plan
    • Assist the Director of IT with managing all IT-related capital projects
    • Offer expert advice to the Director of IT on how to ensure that the Garden is getting the best value for various IT contracts, purchases, subscriptions, etc.
    • Assist the Director of IT in building and running an IT Advisory Group, meeting quarterly

    Cybersecurity

    • Training staff on proper use procedures, security protocols, file management, and other trainings needed, and assist in software training when applicable
    • Work with the security department for management and maintenance of onsite security server including camera system and access control system
    • Maintain security of all hardware and software including Antivirus policies and management, SPAM Filter, and SSLs

    Other Responsibilities

    • Familiarize oneself with the organization and the Employee Handbook
    • Get to know fellow staff members, developing trust, establishing credibility, encouraging teamwork, and creating an atmosphere of open, honest, two-way communication
    • Serve as a role model for Garden volunteers, providing support and encouragement to volunteers in their roles across the Garden
    • Maintain a high level of professionalism in manner, work ethic, and appearance.
    • Adhere to Garden Dress Code and wear Garden uniform [business casual]

    Qualifications

    • 2 years minimum IT supervisory/management experience
    • Excellent communication skills
    • Comprehensive knowledge of and experience with current IT technology, including networking, Windows server environments, mobile technologies, wireless communications, and security protocols
    • Knowledge of O365/Azure, VoIP and hosted SQL based CRM/POS software preferred
    • Project Management experience preferred, but not required
    • Proven ability to problem-solve complicated issues
    • Bachelor’s or Associates Degree in Computer Science and/or appropriate work experience

    Special Requirements

    • Must be able to remain in a stationary position and/or move about the Garden for several hours
    • Must be able to work effectively in a shared office environment
    • Must have reliable transportation, valid driver’s license, and clean DMV record for travel between organization locations
    • Must be willing and able to occasionally travel between the Garden and Administrative offices
    • Must be available to work occasional evenings and weekends for special events requiring IT support
    • Must be available for on-call response in after-hours emergency situations

    Compensation & Schedule

    • Wage: $63,000 - 68,000/annually, depending on experience
    • This is a full-time, non-exempt, salaried position with approximately 40-45 hours per week. Shifts are typically 8.5 hours (½ hour lunch), M-F 7am-4pm (can be adjusted based on preference)

    Transportation

    The Garden is located at 611 SW Kingston Avenue, in Washington Park. Below are the transportation options for staff commuting to the Garden:

    • Parking: Staff may park in the numbered spaces throughout Washington Park, which require payment. The cost is $8/day, or staff may request parking permits from Washington Park. The Garden subsidizes a portion of the cost for parking permits; the cost for staff is $75 during the high season (March – September) and $50 during the low season (October – February).
    • Bus Passes: For staff who take public transit as their primary means of commuting to the Garden, we provide paid bus passes. Full-time staff receive a monthly TriMet pass, and part-time staff receive daily passes, based on their work schedule.
    • Transportation Stipend: Staff who take any form of alternative transit to get to work qualify for a $5 daily stipend. This includes taking public transit, walking, biking, carpooling, or getting dropped off. The only staff who do not qualify for the stipend are those who are receiving a bus pass through the Garden.
