    Description

    The Operations Assistant plays a vital role in ensuring the smooth execution of development, finance, and data management functions at Camp Catanese. This position requires strong attention to detail, organizational skills, and the ability to manage multiple tasks efficiently. The ideal candidate will support fundraising efforts, maintain financial records, and oversee data integrity to enhance operational effectiveness.

    This job is offered on a full-time basis, preferably reporting to our Phoenix office 5 days per week.

    Qualifications & Skills:

    • Experience with Salesforce and QuickBooks preferred (training available)
    • Strong organizational and data entry skills with keen attention to detail
    • Ability to manage multiple projects with efficiency
    • Strong communication and interpersonal skills
    • Passion for Camp Catanese’s mission and commitment to its programs

    Key Responsibilities:

    Development

      • Process and enter donations into Salesforce
      • Create and mail gift acknowledgments within 48 hours of receipt
      • Update and maintain donor contact records to ensure data accuracy
      • Support in building and uploading the annual donor pipeline in Salesforce

    Finance

      • Code all expenses in QuickBooks to maintain accurate financial records
      • Gather, code, and reconcile receipts for grant documentation
      • Assist with travel reimbursements and stipends, including preparing checks in QuickBooks
      • Manage contracts and document gathering for volunteers and mentors, including W-9s
      • Prepare and process stipend payments for cohorts and mentors in QuickBooks
      • Provide support for annual budgeting, as needed.

    Data Management

      • Perform mass uploads in Salesforce (training provided)
      • Assist with end-of-year fundraising data processing
      • Upload program data for campers and volunteers following Summer, Fall, College Conference, and Winter Camps
