Position: Harmony Project Director of Programs
Function: The Director of Programs is responsible for seamless day-to-day functioning of the department by ensuring agency compliance and oversight of various areas including, program evaluation, data collection and reporting, adherence to CCADV and YWCA Greenwich standards, policies and procedures, coordination of client services, onboarding procedures for staff, interns and volunteers, general office management and assistance with special projects.
The Director of Programs is a senior level staff member within Harmony Project and will stand in when the Director is not available. This position is to be carried out while empowering victims with respect to their safety and their right to self-determination. The Director of Programs is also a Director-level position within the YWCA organization.
Responsibilities:
- Coordination of Client Services
- Review client intakes, maintain waitlist for counseling services, and assign appropriate clients to available counselors.
- Coordinate with counselors to manage caseloads, including groups.
- Oversight of client paper files: ensuring files are complete, up to date and reconciled with ETO files.
- Manage client file requests and file destruction process.
- Coordinate and participate in efforts to collaborate with key service providers in the community to maintain positive relationships and enhance the Greenwich community’s capacity to comprehensively respond to domestic and sexual violence.
- Provide support as needed to after-hours staff during their shifts.
- Provide therapeutic services and assist with onsite support groups.
Program Evaluation and Reporting
- Ensure quality improvement by developing and implementing measurement tools to capture process and program outcomes across Harmony Project’s services, such as client evaluations and feedback forms.
- Support Director with reporting for various funders.
- Submit monthly program data reports to Harmony Project Director.
- Maintain general and Harmony-specific domestic and sexual violence statistics for various populations to promote public awareness.
- Track and document program’s compliance with CCADV Standards.
- Track and support staff compliance with YWCA Greenwich policies and procedures.
Law Enforcement Liaison and Lethality Assessment Program (LAP) Coordinator
- Liaison to Greenwich Police Department and other law enforcement and ensure ongoing TA for law enforcement.
- Coordinate advocacy with law enforcement regarding high danger cases, police report follow-up, client complaints and facilitation of client police reports as needed.
- Attend monthly meetings with GPD SVS Liaison and Harmony Project Director
- Participate in monthly LAP calls with CCADV and quarterly regional LAP meetings.
- Complete monthly and quarterly LAP reports to CCADV and maintain general LAP data.
- Oversee daily LAP procedures and ensure staff adherence to LAP protocol.
Empower DB Site Administrator
- Manage Harmony Project staff user accounts, track staff’s efforts to ensure timely data entry, and address staff challenges with data entry compliance.
- Train new staff and interns on proper documentation of client services, troubleshoot technical problems, and serve as Empower DB point of contact for CCADV.
- Provide oversight and ongoing staff support to ensure correct and timely data entry of all services provided.
- Document own individual client and community interactions.
Administration and Management
- In collaboration with Director, implement systematic procedures for corrective action of staff when necessary.
- Provide general oversight and daily support of direct services staff, and coordinate onboarding of new staff, interns, and volunteers.
- With Director, manage Harmony Project Operations Manual
- Review and update program protocols such as intakes, shelter admissions and dismissals to ensure highest quality of service provision.
- Manage Harmony Project shared calendars and staff schedules.
- Maintain and update as needed all program materials, literature, and other client resources.
- Point of contact for IT, phone, and maintenance services
- Ensure daily office procedures are completed.
- Oversee annual national Domestic Violence Census
- Stand in as Harmony Project leadership when Director is not available, including making decisions regarding clients, staffing and general operations of the department as well as representing Harmony Project within the YWCA and greater community.
Direct Supervision of Harmony Project Staff
- Oversee day to day operations and management of direct reports including, Bilingual Adult Counselor, Child and Family Counselor, Crisis and Housing Advocate and Part Time Adult Counselor. Tasks include approving time off and payroll, supporting staff with professional development, providing constructive feedback and addressing performance issues.
- Complete and submit 3-month, Mid-year and End of year performance appraisals, focusing on acknowledging achievements, identifying areas of improvement and setting goals
Other Duties:
- Maintain compliance with and perform all job responsibilities in accordance with CCADV standards and YWCA and Harmony Project goals, objectives, policies and procedures.
- Attend seminars, conferences, and workshops which contribute to professional growth.
- Maintain in compliance with Connecticut statutes: C.G.S.52-146 including but not limited to: Privilege: C.G.S. 52-146K; Confidential Communication: C.G.S. 52-146(B) & C.G.S.52-146(F), C.G.S.52-146k(e); and Confidential Record Keeping: C.G.S.52-146 (i)
- Work collaboratively with CCADV member programs, other YWCA Staff, and local service providers to build strong, positive relationships within the organization, local community and State.
- Comply with Connecticut Mandated Reporting laws.
- Prioritize responsibilities as necessary, in response to crisis needs and the needs of Harmony Project program.
- Provide direct services as needed, including crisis and hotline coverage.
- Attend monthly YWCA Directors’ meetings.
- Supportive of Harmony Project and YWCA management and its Board of Directors.
- Obtain information and identify key issues and relationships relevant to long-range strategic planning for Harmony Project and the YWCA.
- Participate in YWCA & Harmony Project staff events /programs including but not limited to: October Awareness, Certification Training and Staff Development Days.
Qualifications:
- Master’s degree in Social Work or related field
- Minimum of 4 years’ professional experience in a social service setting and 2 years’ management or supervisory experience
- Comprehensive knowledge of the dynamics of domestic and sexual violence, safety planning and client-defined advocacy.
- General knowledge of the civil and criminal court system as it relates to domestic violence.
- Ability to integrate and manage large amounts of information and communicate information appropriately and effectively.
- Knowledge of community resources.
- Complete Connecticut state domestic violence certification and maintain certification receiving not less than 6 hours of in-service training annually in issues related to working with victims of domestic violence and advocate job enhancement skills. Complete in-service trainings on sexual violence and the provision of sexual violence services. Maintain working knowledge of both through continuing education.
- Maintain certification with no less than six (6) hours of in-services annually, in issues related to intimate partner violence and advocate job enhancement skills.
- Commitment to gender and racial equity, and an understanding of issues relating to domestic and sexual violence.
- Reliable transportation and working telephone required.
