Executive Administrative Coordinator

Annual Salary Rate: $72,500 ($6,041.67 per month)
Robert F. Kennedy Human Rights is seeking a highly organized, detail-oriented, and proactive Executive Administrative Coordinator to support the President. This role requires discretion, flexibility, and exceptional communication skills, and it involves administrative, scheduling, and household support. The ideal candidate is a resourceful, flexible, and highly organized person who can manage shifting priorities and maintain grace under pressure in a dynamic, fast-paced environment.
Key Responsibilities:
Event & Travel Coordination
- Organize domestic and international travel logistics: book flights, ground transportation, lodging, and prepare detailed itineraries that reflect the President’s preferences and commitments.
- Support the President during public and private events, meetings, and conferences as needed.
- Provide real-time event and logistics support, including evenings and weekends, as required.
Administrative & Communications Support
- Serve as the primary point of coordination for the President’s schedule, including meetings, speaking engagements, travel, and personal appointments.
- Screen and manage all incoming communications including calls, emails, and mail; prioritize and draft responses as needed to ensure timely, professional communication.
- Track and submit timecards and expense reports accurately and on time; maintain clear records for financial reconciliation and reporting.
- Complete special projects and assignments by determining priorities, coordinating logistics, and ensuring successful execution.
- Do your part in keeping our operations running smoothly - tracking your hours and submitting invoices in a timely manner.
Household & Personal Support
- Coordinate household-related tasks and liaise with vendors, contractors, and service providers to ensure smooth household operations.
- Assist with errands and personal tasks as directed, ensuring confidentiality and discretion.
- Provide occasional pet care support and oversight when needed.
A successful candidate must have the following skills and experiences:
- 3+ years of high-level executive or C-suite support, operations, house manager, or coordination role; global, legal, non-profit, or advocacy experience is a plus;
- A demonstrated passion and understanding of RFKHR’s mission and legacy;
- Awareness and interest in current events and issues relating to human rights around the world;
- Ability to travel to New York City, Hyannisport, MA, and Washington, DC when necessary;
- Ability to work flexible hours, including evenings and weekends, and to travel as needed.
- Proficiency navigating and problem solving with systems such as Windows 10 OS and Apple products;
- Excellent organizational skills, ability to be flexible, and prioritize tasks on a day-to-day basis;
- Ability to proactively anticipate needs and take independent action, using good judgment, to resolve issues;
- Demonstrated experience booking and coordinating domestic and international travel;
- Excellent interpersonal and communication skills—written, verbal, and interpersonal—with a high level of professionalism.
- Strong attention to detail and able to scope out errors, including a willingness to own and fix mistakes;
- High level of integrity and discretion in handling confidential information;
- Strong typing skills - feel comfortable note-taking and drafting up correspondence;
- Experience working on online platforms such as Zoom, G-suite, MS-Office suite, and Mac Compatible products, especially Microsoft Excel;
- Ability to work on CRMs (Customer Relationship Management) platforms such as Salesforce or similar for key stakeholder communication tracking;
- Working knowledge of social media platforms (Facebook, Instagram, LinkedIn, Twitter/X, etc.) and ability to draft written content;
- Exceptional time management, including the ability to manage multiple tasks and projects at once;
- Strong work ethic - you’re flexible, patient, and able to stay gracious under pressure;
- Strong sense of teamwork and appreciation for inclusion - ability to build positive relationships with colleagues and stakeholders with different backgrounds, experiences, and perspectives.
Availability and Compensation:
- The initial period of work will be three (3) months beginning Fall 2025; Option to extend dependent on deliverables;
- Available 40 hours per week;
- Full-time, monthly pay at the rate of $37/hour; annual salary rate of $72,500
