    Description Of the Role:

    The Executive Assistant / Administrator will support the Executive Director and leadership team with administrative and cross-functional coordination. This is a key behind-the-scenes role ideal for someone who thrives in a dynamic environment, is tech-savvy, and enjoys juggling priorities with ease.

    Department/Team: Executive Office / Admin Support

    Duties and Responsibilities:

    • Manage and prioritize emails and calendars for the Executive Director
    • Schedule and prepare for meetings (agenda creation, notetaking, follow-ups)
    • Draft communications, memos, and internal updates
    • Track project tasks and deliverables across departments
    • Organize shared files, documents, and other internal resources
    • Support onboarding of new team members, basic HR administration, and document reviews
    • Collaborate across departments including marketing, IT support, internal team coordination, and funding initiatives

    Required Experience/Skills:

    • Strong written and verbal communication skills
    • Detail-oriented with excellent task and time management
    • Tech-savvy and organized with a proactive mindset
    • Able to work independently and anticipate needs (“manage up”)
    • Experience with Google Workspace, Slack, and AI-based tools, Canva
    • 1–3 years of experience in an administrative, operations, or project support role
    • Background in project coordination or executive support
    • French language proficiency is an asset
    • 15–20 hours per week; flexible based on availability and project needs
