    Administrative Assistant (Volunteer)

    Organization: A Free Bird | 501(c)(3) Nonprofit

    Location: Remote

    Commitment: 5–10 hours per week | 3-month minimum

    A Free Bird is a New York City–based nonprofit organization that empowers children diagnosed with cancer to explore their artistic passions as part of their healing journey. From music and writing to acting, painting, and more, we provide creative platforms that give young artists the freedom to express themselves, gain confidence, and build resilience through the arts.

    Position Summary:

    We’re looking for a detail-oriented and proactive Administrative Assistant to support the President of the organization and help ensure smooth day-to-day operations. This volunteer role serves as a vital link between the President and department heads, providing clerical and communication support that promotes efficiency and cohesion across teams.

    Key Responsibilities:

    • Serve as liaison between the President and department leaders to maintain clear communication on goals, timelines, and ongoing projects
    • Maintain and update calendars, meeting agendas, and internal documents daily
    • Organize and manage digital files and records within the organization’s systems
    • Coordinate meetings, take notes, and follow up on action items with various departments
    • Monitor departmental progress and flag updates or issues for leadership attention
    • Respond to emails, phone calls, and internal messages professionally and promptly

    Qualifications:

    • Prior experience providing administrative or executive-level support
    • Strong organizational and time-management skills with excellent attention to detail
    • Proficient in Microsoft Office, Google Workspace, and cloud-based file systems
    • Clear, professional communication skills (written and verbal)
    • Ability to work independently and collaboratively across departments
    • Comfortable managing multiple tasks in a fast-paced, remote environment

    Additional Information:

    • This is a volunteer position requiring a 3-month minimum commitment and 5–10 hours per week
    • Must have access to a computer, reliable internet, and be available for at least 1–2 video or phone check-ins weekly
