    Secretary – Job Description (Volunteer)

    Summary:

    The Secretary provides essential administrative support to the Senior Management Team and the Board of Directors. This role ensures efficient communication, documentation, and organization within Orisha Wholeness, contributing to the smooth operation of the organization

    General Duties & Responsibilities:

    1. Prepare and organize reports, official documents, and both internal and external correspondence.
    2. Communicate professionally with partner organizations and stakeholders on behalf of Orisha Wholeness.
    3. Schedule and take detailed notes at all organizational meetings.
    4. Assist in managing incoming and outgoing social media content.
    5. Develop and maintain a well-organized filing system for all Orisha documents.
    6. Maintain and coordinate Orisha Wholeness’ master calendar and schedule.
    7. Complete other related administrative tasks as assigned.

    Board-Specific Duties & Responsibilities:

    1. Maintain familiarity with Orisha Wholeness’ governing documents, including Articles of Incorporation, By-Laws, and IRS Letters, to reference as needed during meetings.
    2. Take accurate and comprehensive minutes during all Board meetings.
    3. Ensure timely distribution of meeting minutes to all Board members.
    4. Maintain official records of Board activities and oversee the organization and management of all Board-related documentation.

    Qualifications:

    1. High school diploma or equivalent (some organizations may prefer a college degree).
    2. Strong written and verbal communication skills.
    3. Basic computer proficiency (email, word processing, file management).
    4. Good organizational and time-management skills.
    5. Attention to detail for note-taking and record-keeping.
    6. Ability to maintain confidentiality when handling sensitive information.
    7. Willingness to learn about nonprofit operations and board procedures.
