    Role Description:

    We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to our leadership team. This remote position is crucial for ensuring the efficient flow of information and effective execution of strategic initiatives that drive our mission forward.

    Key Responsibilities:

    • Managing complex calendars for executive leadership, including scheduling appointments, coordinating internal and external meetings (virtual and in-person as needed), and managing meeting logistics.
    • Preparing, formatting, and organizing sensitive documents, presentations, and reports for various stakeholders, including board members, partners, and community leaders.
    • Serving as a primary point of contact for high-level internal and external communications, drafting professional correspondence, and managing inquiries on behalf of executives, ensuring alignment with our mission.
    • Coordinating and arranging detailed travel logistics, including flights, accommodation, and itineraries, to support executive participation in events, conferences, and community engagements.
    • Handling confidential and sensitive information with the utmost discretion and professionalism, particularly regarding organizational strategy, partnerships, and community data.
    • Assisting with special projects, research assignments, and data compilation related to health equity, mental health initiatives, and organizational growth.
    • Anticipating the leadership team's needs and proactively identifying and addressing administrative and operational challenges to ensure seamless workflow.
    • Developing and maintaining efficient digital and physical filing systems, record-keeping, and knowledge management processes for critical organizational documents.
    • Collaborating effectively with all team members across departments to support overall organizational goals and enhance administrative efficiency in a mission-driven environment.

    Qualifications:

    • Proven experience (typically 3+ years) as an Executive Assistant or in a similar high-level administrative support role, ideally within a non-profit or mission-driven organization.
    • Exceptional organizational, project management, and time management skills, with a demonstrated ability to prioritize complex tasks and manage multiple deadlines simultaneously.
    • Superior written and verbal communication skills, with meticulous attention to detail in all correspondence and documentation.
    • Advanced proficiency in office software (e.g., Google Workspace, Microsoft Office Suite: Word, Excel, PowerPoint, Outlook), Slack, and other virtual collaboration tools.
    • Ability to work independently with minimal supervision, take initiative, and exercise sound judgment in a fast-paced, evolving environment.
    • A high degree of professionalism, integrity, and discretion in handling sensitive and confidential information.
    • Strong problem-solving abilities and a proactive approach to anticipating needs and resolving issues before they arise.
    • Comfortable and effective working in a remote environment, with excellent virtual communication and collaboration skills.
    • Demonstrated passion for the mission of SelfSoulLiberate: achieving health equity and reducing mental health stigma in under-resourced communities.
