    Your Role

    As Operations Manager, you will be the heartbeat of MAF’s office operations, ensuring that our internal systems are functional, efficient, and welcoming. You’ll support the COO and broader team in key operational, administrative, and logistical functions that enable MAF to serve our community with excellence.

    From managing vendors and supplies, coordinating office facilities, and supporting compliance and admin processes, to helping implement org-wide systems and special projects—you’ll be critical in keeping MAF organized, efficient, and mission-ready.

    Reports to: Chief Operating Officer (COO)

    Key Responsibilities

    Office & Facilities Management (40%)

    • Manage day-to-day operations of our physical office space to ensure a safe, clean, and welcoming environment
    • Coordinate with vendors for office maintenance, janitorial services, repairs, and deliveries
    • Track and replenish office and kitchen supplies; maintain organized inventory
    • Act as the point person for all building access

    Administrative & Operational Support (30%)

    • Support the COO with administrative tasks including meeting preparation, and special projects
    • Assist with onboarding and offboarding processes for new employees and contractors (workspace setup, tech access, etc.)
    • Maintain internal documentation, templates, and filing systems
    • Support expense tracking and invoice processing for operations-related vendors

    Organizational Systems & Compliance (20%)

    • Help implement and improve internal systems for procurement, vendor management, and facilities
    • Support compliance efforts, including workplace safety, insurance renewals, and recordkeeping
    • Assist with data entry, process audits, and maintaining operational dashboards in systems like Salesforce or Notion

    Team & Event Support (10%)

    • Coordinate logistics for in-person staff events and team meetings
    • Serve as a go-to person for internal support needs, fostering a positive and productive work culture

    • Tech-Savvy: Comfortable using office systems like Google Workspace, Zoom, Slack, and project management tools. Experience with Salesforce, Notion, or basic IT systems is a plus.

    Qualifications

    • 3+ years of experience in operations, office management, executive assistance, or similar roles
    • Experience supporting a mission-driven or nonprofit organization is a strong plus
    • Bilingual (English/Spanish) preferred, but not required
