    Description

    Baltimore Center Stage (BCS) is seeking a Business Associate to further our organizational mission: Inspired by our home city, Baltimore Center Stage acts as a cultural catalyst for our communities using theater in all its forms to engage in the compelling conversations of our time. Under the leadership of Artistic Director Stevie Walker-Webb, Baltimore Center Stage is rooted in providing active and open accessibility to our programming, including mainstage series productions, civic programming, learning and social accountability programs, and special engagements and projects.

    The Business Associate is responsible for assisting in the daily business operations of the organization. This role is a member of the finance and operations team and requires a candidate with financial management skills, strong attention to detail, and a commitment to maintaining the highest standards of compliance and confidentiality. The position will report to the CHIEF OPERATIONS OFFICER.

    Primary Duties/Responsibilities:

    Accounts Payable

    • Process and record invoices for payment
    • Prepare printed checks
    • Prepare monthly sales tax return
    • Maintain vendor files, including payment information and IRS documentation
    • Research outstanding invoices and checks

    Cash

    • Prepare deposits for logged income
    • Deposit cash and checks weekly
    • Process ACH payments received
    • Reconcile and balance petty cash, concessions, and any other safes onsite

    Credit Cards

    • Manage company credit cards issued to employees
    • Review credit card receipts and transaction coding

    Accounting

    • Distribute monthly income and expense reports to department heads
    • Manage monthly recurring invoices for timely payments
    • Reconcile monthly development reports
    • Update check request form to align with chart of accounts

    General

    • Receive and sort daily mail
    • Scan mail and file in appropriate folders
    • Attend weekly events meetings and report relevant information back to departments
    • Meet weekly with external accounting team
    • Other duties as assigned

    Currently, Baltimore Center Stage’s administrative staff work in a hybrid format: three days in the office and two days from home.

    Requirements: Associate or bachelor's degree in accounting/business or equivalent practical experience; working knowledge of Excel, Word, and Intacct account systems or similar software; strong organizational and analytical skills with the ability to prioritize and manage deadlines in a fast-paced environment while maintaining a high standard of accuracy. Experience with Tessitura a plus.
