    POSITION OVERVIEW

    The Health Research Alliance (HRA), a collaborative member organization of nonprofit research funders committed to maximizing the impact of biomedical research to improve human health, seeks an Operations Manager to lead the organization’s operational and administrative functions.

    Working with the Executive Director, the Operations Manager (OM) is responsible for HRA’s operational and administrative functions and participates in programmatic logistics planning and execution. The OM prioritizes financial, governance, and technology functions, which include managing the dues collection process, annual budgeting and monthly reconciliation, preparation of meeting agendas and minutes, website maintenance and updates, and technical management of several online member forums. In addition, the OM will assist with oversight of multiple vendors and provide supervision of several interns. The OM is an integral member of the HRA community and must demonstrate excellent communication and collaboration skills through frequent email communication, facilitating online committee meetings, coordinating learning community sessions, and planning twice annual Members Meeting conferences.

    This is a full-time remote position, with the ideal candidate preferably based in Washington DC or the Northeast Corridor. This position will require approximately 5% domestic travel. This position will report to the Executive Director.

    KEY RESPONSIBILITIES

    Financial

    • Assists with drafting and reconciling annual budget.
    • Coordinates vendor contracts, manages vendor payments, and maintains transaction records.
    • Collaborates with accounting and tax vendors on financial tasks including annual audit and tax procedures.
    • In coordination with the Executive Director (ED), conducts financial analyses, analyzes trends, ensures financial stability and sustainability, and maintains appropriate operating reserves.
    • Oversees the annual membership renewal and dues collection process.
    • Complies with all local, state, and Federal legal and regulatory requirements.

    Governance

    • Schedules Board of Directors and Committee meetings and coordinates speakers. Prepares and distributes agendas and meeting materials.
    • Prepares minutes for Committee and sub-committee meetings, as needed.
    • Collects and ensures compliance with annual Conflict of Interest statements and other HRA administrative policies.
    • Assists the ED in Board of Directors and Committee nominations processes.

    Technical

    • Manages member access (organizational and individual) to the HRA website.
    • Updates HRA website daily with current information on upcoming events and registration information.
    • Oversees the development and maintenance of relevant informational material and resources on the HRA website created by speakers, learning communities, committees, and HRA staff.
    • Maintains necessary software and technical licenses for HRA.
    • Serves as primary moderator for multiple HRA online forums.
    • Manages member login credentials and data import for, and responds to inquiries about HRA’s platforms: HRA Analyzer and HRA Open.
    • Assists with social media posts.

    Membership and Programs

    • Answers general member questions and concerns by email and phone in a courteous and timely manner.
    • Replies to membership inquiries, processes new member applications, and onboards new member organizations.
    • Schedules, organizes, and coordinates learning community calls and other events with learning community co-chairs.
    • Assists the ED in the creation and production of quarterly newsletters and an annual report.
    • Analyzes data to provide insight into and track HRA initiatives and program outcomes.

    Members Meetings

    • Leads the planning and logistics for twice annual Members Meetings, ensuring smooth execution for both virtual and hybrid formats.
    • Participates in and supports the Program Committee for each Members Meeting to develop the agenda and identify and invite speakers.
    • Provides administrative support to the Program Committee and Learning Communities to convene planning meetings and facilitate ongoing communication.
    • Schedules and oversees speaker planning calls and speaker travel arrangements.
    • Attends in-person members meetings to provide technical oversight and logistics.
    • Provides technical oversight during meetings including scheduling, registration, slide collection, PowerPoint operation, Zoom set-up, and troubleshooting.
    • Manages, distributes, and analyzes Members Meeting evaluation surveys.

    Management and Supervision

    • Provides management and supervision of up to three college-level interns, including task assignment, weekly meetings, career mentoring, and performance evaluation.
    • Serves as primary liaison with HRA’s contractors and vendors, including accounting firms, auditors, website developers, and insurance companies.

    QUALIFICATIONS AND EXPERIENCE

    The ideal candidate will have the following qualifications and experience:

    • Bachelor’s degree required, with a minimum of five years of work experience in a related professional office setting (e.g., operations, project management, research, event planning).
    • Strong communication skills including verbal, written, speaking and listening skills.
    • Familiarity and comfort with technology including Microsoft 365, Google Workspace, Microsoft Teams, Zoom, Survey Monkey, Dropbox, AI applications, Canva, WordPress (website management), and social media.
    • History of success in planning, organizing, facilitating, and reporting on online and/or in-person professional meetings.
    • Effective strategies for prioritizing and managing multiple, overlapping tasks and logistics.
    • Proven record of collaboration with individuals and teams from different disciplines and career stages.
    • Experience with project or program management, including budgeting and financial analysis, required.
    • Excellent attention to detail and organizational skills.
    • Experience in nonprofit, philanthropic, or biomedical research ecosystems preferred.
    • Digital or social media management experience preferred.

    • Addressing key issues in accelerating research discovery and translation.
    • Collecting and sharing data and analysis about nonprofit funding for biomedical research and training.
    • Identifying and adopting effective practices in funding health research with the goal of speeding the translation of biomedical science into applications that improve health.

    HRA was incorporated in November 2005 and is tax exempt under section 501(c)(3) of the Internal Revenue Code as a 509(a)(2) public charity.

    COMPENSATION

    The salary range for this position is $75,000 - $125,000, commensurate with experience. This salaried position includes healthcare and dental insurance premium reimbursement; generous 401k plan; sick, holiday, and vacation time; and additional benefits.
