    The Urban Justice Center serves New York City’s most vulnerable residents through a combination of direct legal service, systemic advocacy, community education and political organizing. We assist our clientson numerous levels, from one-on-one legal advice in soup kitchens, to helping individuals access housing and government assistance, to filing class action lawsuits to bring about systemic change.     Summary:

    We are looking for an Office Coordinator to join the Operations team. This position will be supervised by the Director of Operations and Human Resources. This is an in-person position, Monday through Friday. Primary responsibilities include, but are not limited to:

    • General office and facilities coordination such as managing equipment, responding to issues, and communicating resolution progress to staff, scheduling work with outside vendors, restocking office and breakroom supplies, and office moves.
    • Administrative support such as managing calendars, collecting, and entering data, tracking tasks and deadlines, compiling data, generating reports, preparing and submitting invoices for payment, preparing and submitting deposits including weekly runs to the bank, and submitting monthly credit card reports.
    • Ordering office and legal supplies needed for all UJC locations.
    • Monitor agency mailing and shipping accounts and ordering supplies as needed for all UJC locations
    • Regularly updating Front Desk Manual and Operations Useful Guide to ensure all information is relevant and up to date
    • Assist with coordinating yearly Summer Intern Orientation and training as well as other office events throughout the year.
    • Ordering safety supplies such as Personal Protection Equipment (PPE) and cleaning supplies and maintaining an inventory of these supplies.
    • Activate PLI, Westlaw, and Lexis/Nexis accounts as well as close accounts when someone has left the organization.
    • Front Desk/Reception tasks such as creating a friendly and professional environment for staff and guests, sorting mail, and answering a high volume of calls daily. Coverage will be provided at the main UJC office as well as any other UJC locations as needed.
    • Managing CCURE security system including adding and removing employees as needed and facilitating the distribution of building IDs for all staff, interns, and volunteers.
    • Serve as a liaison between UJC and the building management office at every UJC location and coordinate building services and repairs as needed.
    • Manage incoming and outgoing office deliveries and deliveries for events
    • Assist with set up and facilitation of logistics for meetings/events taking place in the office and directing guests to office meetings/events
    • Schedule and manage courier pickups and deliveries
    • Provide coverage for Front Desk Coordinator tasks in the absence of the Office Coordinator
    • Special projects or tasks as directed by supervisor.

    Qualifications/Skills:

    • Bachelor’s degree and 2-3 years of office support experience or High School Diploma and at least 3-4 years of office experience, including administration and facilities.
    • Strong judgment, highly developed problem-solving/analytics skills, and project- management skills, and a keen focus on continuous improvement.
    • Strong organization skills and detailed oriented
    • Ability to be flexible, team player and interface professionally with all levels of internal and external customers.
    • Ability to travel on a regular basis to any UJC office as needed. UJC has offices in Manhattan and in The Bronx.
    • Must be able to use initiative and independent judgment within established guidelines.
    • Experience with Office 365 Suite, including business applications such as Excel, Word, and PowerPoint.
    • Ability to work collaboratively – and independently – on a tight schedule when necessary.
    • Ability to work comfortably with staff at all levels of an organization – managing both upward and downward.
    • Effective written and oral communication skills.
    • Bilingual Spanish/English preferred

    Compensation & Benefits:

    Salary range for this position is $57,000 - $61,382.77, plus very generous benefits including 401(k) match, exceptional medical and dental insurance, 20 paid vacation days, 5 paid personal days,12 paid sick days, 12 paid holidays, and additional paid week off between Christmas and New Year’s Day.
