    ABOUT LISTEN4GOOD

    Listen4Good (L4G) is a fast-growing nonprofit dedicated to helping the social sector build the capacity to listen and respond to their clients, leading to positive changes in the way they make decisions, deliver services, and partner with the people they serve. L4G was created in 2016 by a national funder collaborative, Fund for Shared Insight. In 2023, L4G spun out and became an independent project, fiscally sponsored by Tides Center. We are now moving to become our own independent 501(c)3. Since its inception, L4G has experienced consistent growth, working with more than 1,200 organizations nationwide. Grounding our work is a fundamental belief that high-quality feedback, when fully embraced by organizations, can catalyze consistently inclusive and equitable relationships with clients (to learn more about our approach to equity, see the Listen4Good Equity Statement).

    POSITION OVERVIEW

    The Coordinator, Operations is a full-time position providing administrative, coordination, and systems support across L4G’s finance, contracts, HR, IT, and general operations functions. The person in this role will play a critical part in setting up internal operations for our new, independent nonprofit structure. Reporting to the Senior Manager, Operations, this role ensures L4G’s operational infrastructure runs efficiently, accurately, and in alignment with our mission and values.

    RESPONSIBILITIES

    • Finance Administration
      • Manage accounts receivable and payable processes, including coding transactions, tracking payments, processing invoices, and ensuring proper documentation.
      • Maintain accurate records in Quickbooks, Salesforce, and other systems, supporting grant, donation, and audit requirements.
      • Maintain expense tracking systems and support staff when needed with expense reimbursements.
    • Contracts, Grants, and Donations Administration
      • Coordinate contract preparation, execution, and filing.
      • Onboard and offboard vendors in Listen4Good systems.
      • Track grant timelines, payments, and documentation. Support select funder reporting.
      • Support donation system management, acknowledgments, and related recordkeeping.
    • HR Coordination
      • Assist with HR tasks such as onboarding/offboarding, handbook updates, and planning team off-sites and trainings.
    • IT & Systems Administration
      • Maintain software application and user records, coordinating with L4G’s IT vendor.
      • Provide systems administration for business applications and manage related billing.
    • Team & Project Support
      • Support time tracking and data quality processes related to staff and vendor time spent on grants and projects.
      • Provide administrative and operational support for organizational projects, especially during the transition from Tides Center to an independent entity.
      • Serve as the first point of contact for staff and vendor questions related to finance, contracts, and IT.
      • Maintain process manuals for internal staff and external vendors related to operations.
      • Execute other special projects, as needed.

    KEY SKILLS & QUALIFICATIONS

    • 2–3 years of entry-level administrative or operations experience in the nonprofit sector, either through internships or part-time/full-time employment.
    • Demonstrated comfort working with data in Google Sheets or Excel. Experience with bookkeeping, record keeping or contracts is a plus.
    • Able to learn new software systems quickly. Familiarity with Salesforce and QuickBooks is a plus.

    • Extremely strong attention to detail and demonstrated ability to process large amounts of information accurately and consistently meet deadlines.
    • Adept at written and verbal communication with a high degree of social-emotional intelligence.
    • Comfortable working with different teams and workstyles.
    • Learning mindset, including being open to feedback and a willingness to learn new approaches and systems.
    • Flexible and collaborative, with a commitment to working within a highly participatory team.

    Must be comfortable working in a virtual team environment across multiple time zones. As we function as a remote team, this position will work in the home or space of the incumbent's choosing.

    Must be able to move around a meeting space, and attend in-person team meetings 2-3 times a year at a central location, typically Seattle, WA or San Francisco, CA area. Must be able to travel domestically on an airplane 2-3 times per year to and from the in-person team meetings.
