ABOUT THE COMPANY
Recovery Café was founded on the understanding that every human being is precious and beloved regardless of past trauma, mental and emotional anguish, or addictive behaviors. We provide a beautiful, safe, warm, drug and alcohol free space and loving community to anchor Members (our most closely-supported participants) in the sustained recovery needed to gain and maintain access to housing, social and health services, healthy relationships, education, and employment.
Recovery Café operates two cafés in Seattle and operates the Recovery Café Network, which provides training and support to over 80 Member Cafés in the US and beyond. The organization’s FY26 operating budget is $6.5M with a staff of about 35. This position would also oversee investment accounts worth about $31M held under the supporting organization of Friends of Recovery Café.
POSITION DESCRIPTION
The Director of Finance and Administration (Director) is a trusted partner of the Executive Directors (EDs), Leadership Team, and Board of Directors (Board). Reporting to the Executive Director, the Director ensures that Recovery Café (RC) manages its resources responsibly and maintains the administrative infrastructure to operate effectively. This is an excellent opportunity for a seasoned financial professional with leadership experience to move into an established non-profit with a healthy financial position that needs to deepen its financial management infrastructure to keep pace with its growth.
This position serves as the principal financial representative for the organization, aligning financial strategy with the organization’s mission and strategic goals. The Director serves as the key liaison to the Board’s Finance Committee and oversees all financial operations as a working leader.
This position oversees infrastructure and support functions for the organization such as information technology, facilities maintenance, and office administration. The Director is part of a mighty three-person team; this position supervises the Finance Manager and the Office and Facilities Manager.
KEY RESPONSIBILITIES
Strategy and Leadership
- Provide oversight and strategic analysis of the organization’s operating budget, ensuring compliance with budget goals and identifying areas for revenue enhancements and expense controls.
- Provide development, oversight and strategic analysis for the organization’s capital budget, working in collaboration with the EDs, Board, Development Team, and any external project management team.
- Develop and maintain financial forecasting models that support long-term planning and decision-making. Provide analytic input into multi-year sustainability initiatives in coordination with EDs and Board.
- Work with Development team to create annual and multi-year fundraising goals. Monitor restrictions for support and revenue streams, ensuring proper reflection in net assets and fund balances.
- Attend meetings of the Board and Finance Committee, serving as staff liaison to the Finance Committee. Prepare meeting materials and provide timely, accurate, and complete financial reports, analysis and recommendations as needed.
- Participate in union contract negotiations, providing analysis and recommendations and sitting at the table as needed.
- Supervisor and mentor the Finance and Administration team.
Finance and Accounting
- Direct and help perform fiscal operations in coordination with the Finance Manager, to include all accounting functions, grants management, and fiscal compliance.
- Be the financial storyteller to key internal and external stakeholders, including regular updates on budget performance, forecasts, sustainability initiatives, and financial risks and opportunities.
- Coordinate with contract bookkeepers and auditor to ensure timely and accurate accounting operations and compliance with all federal, state, local, and contractual requirements and regulatory deadlines.
- Develop, monitor, and maintain a sound internal control environment.
- Oversee annual financial statement audit and Form 990 preparation, working with a CPA firm.
- Serve as backup to Director of HR to prepare and submit biweekly payroll.
- Maintain relationships with financial institutions, insurance brokers, government funding partners, and administrative contractors.
- Review organization contracts and agreements for consistency, payment terms, risk management, etc. Negotiate pricing options and financial services contracts with outside vendors.
- Manage cash requirements and monitor cash flow position. Keep EDs and Board informed of short- and long-term cash flow needs, including endowment stewardship and capital campaign support. Manage cash balances and fund transfers in accordance with the Investment Policy Statement and Spending Policies.
- Collaborate with investment portfolio advisor to ensure that assets of RC and Friends of Recovery Cafe are managed in compliance with all internal standards and policies.
- Formulate policies to support best practices, improve efficiency, and ensure institutional integrity and ethics in accordance with legal requirements and nonprofit standards.
Administration, Facilities, and IT
- Ensure licensing and reporting compliance, including periodic federal, state, county, and city filings.
- Ensure record-keeping compliance.
- Review legal documents as needed, and retain legal counsel when necessary.
- Oversee the development, maintenance, and use of computer systems, networks, equipment and infrastructure.
- Ensure technology-related disaster recovery and business continuity plans are in place.
- Oversee the maintenance and operational integrity of the organization’s facilities.
- Oversee maintenance of office equipment and stock of office supplies.
- Oversee all administrative functions to ensure effective business operations.
- Ensure technology systems and infrastructure are optimized and effective.
- Manage insurance policies and and risk management for the organization.
QUALIFICATIONS
- Commitment to the Cafe’s mission and values that center community, dignity, & belonging.
- 5+ years of financial leadership experience as CFO, Finance Director, or Senior Finance Staff in an organization, including supervision, preferably in a nonprofit setting.
- Bachelor’s degree in accounting, finance, or business or any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved. CPA, CMA, or Master’s degree in accounting, finance, or business strongly preferred.
- Demonstrated knowledge of GAAP accounting for nonprofits.
- Successful track record in setting policies and priorities, long-term financial planning, creating institutional budgets, and developing financial analyses.
- Demonstrated ability to think critically and globally to make decisions that support the health and sustainability of an organization.
- Experience in working with high functioning boards. Ability to inspire confidence.
- Experience in managing teams, supporting cross-functional collaboration, and developing staff.
- Experience in managing audit and tax engagements with third-party CPA firm.
- Familiarity with government contract requirements, billing, and tracking.
- Demonstrated ability to operate with integrity, discretion, and professional maturity.
- Ability to describe financial concepts and effectively collaborate with program and fundraising colleagues.
- Strong analytical skills, with the ability to interpret financial data and convey insights.
- Extensive experience with accounting systems, financial reporting software, HRIS payroll systems, and Microsoft Excel.
- High level of proficiency with Quickbooks highly preferred.
- Proficiency with CRM applications such as Blackbaud highly preferred.
