    The Center for Victims of Torture is hiring an Electronic Health Records Administrator to oversee the efficient operation of the Electronic Health Records (EHR) system. The Electronic Health Records Administrator supervises key administrative and billing staff, ensures compliance with regulatory and funder requirements, and collaborates with Programs, Evaluation and Research, and Finance to maximize data integrity, billing revenue, and service quality.

    Position open to:

    • Candidates located in the twin cities, MN area who are authorized to work in the U.S. and will not need CVT to sponsor them on a work visa.

    Remote status:

    • Position is partially remote. 60% in-office in St. Paul, Minnesota and 40% remote.

We are an international nonprofit dedicated to healing survivors of torture. We offer rehabilitation services to those who have been tortured, train partners around the world who can prevent and treat torture, and advocate for human rights and an end to torture. We are headquartered in Minnesota, and we have US offices in Georgia and DC, as well as offices in Africa and the Middle East.

    Responsibilities:

    • EHR System Management and Oversight: Administer, configure, and maintain the EHR system (Credible). Develop and maintain training materials; lead software onboarding and ongoing staff training. Work with vendors to manage upgrades, troubleshoot issues, and optimize EHR system use. Build and manage client forms, reports, and workflows within the EHR system. Document system processes clearly for cross-training and succession planning. Provide training on advanced EHR usage and integration. Recommend innovations for improved service tracking and integration.
    • Compliance and Reporting: Ensure compliance with federal, state, and funder documentation requirements. Coordinate and oversee internal and external audits. Support service inventory and regular cleanup of service codes. Collaborate with E&R to streamline data pulls and reporting.
    • Billing Support: Oversee EHR system setup for billing workflows. Create mechanisms to track insurance expiration and notify staff in charge of renewals. Ensure the accuracy of data entry impacting billing. Analyze billing reports and recommend workflow improvements.
    • Supervision and Staff Management: Supervise the Administrative Support Specialist and Billing Coordinator. Delegate tasks appropriately and ensure cross-training. Facilitate regular check-ins, performance reviews, and workflow improvements.
    • Cross-Department Collaboration: Liaise with Programs, E&R, and Finance to align EHR practices. Participate in state meetings on EHR and reporting standards.

    Qualifications:

    Required education, experience, certificates, licenses or registrations

    • Bachelor’s degree or equivalent experience in database management and electronic health records management
    • 3 years of progressively responsible experience administering cloud-based, electronic health record systems, including CREDIBLE and similar platforms
    • Experience developing and providing training on technical applications
    • Experience with community-based mental health programs or organizations serving underserved communities

    Preferred education, experience, certificates, licenses or registrations

    • Master’s degree or equivalent experience in database management and electronic health records management
    • Experience with SQL-based reporting and query building
    • Experience designing and building electronic forms
    • Experience supervising staff members
    • Audit and site visit coordination experience

    Competencies (knowledge, skills and abilities)

    • Ability to create and provide high quality technical training
    • Working knowledge of Microsoft Office suite (Outlook, Word and Excel)
    • Excellent written, verbal and interpersonal communications skills
    • Excellent skills in organization, attention to detail and time management (including the ability to meet deadlines)
    • Interest in or commitment to human rights

    Work Environment (subject to change):

    • Typical office environment
    • Time spent on the computer is approximately 85%

    Supervisory Responsibilities: This position supervises the Administrative Support Specialist and Billing Coordinator
