    About Rose City Rollers & the Operations Manager Position

    Rose City Rollers (RCR) is a one-of-a-kind nonprofit—and we’re looking for an equally exceptional Operations Manager to help shape the next era of structure, sustainability, and internal systems that support joy, community, and unforgettable derby experiences.

    We are the world’s largest roller derby league, with 450+ members ages 7–55+, 18+ teams, and a passionate community of athletes, families, and fans. As a 501(c)(3), we’re dedicated to creating inclusive, body-positive, and empowering experiences for women, girls, and gender-expansive individuals in Portland and beyond.

    The Operations Manager is a mission-critical role. You’ll lead the charge in building strong internal infrastructure and systems that empower our staff, skaters, and volunteers. This includes improving our use of project management tools (especially ClickUp), guiding process documentation across all departments, managing Microsoft 365 tools like SharePoint, and supporting strategic planning, finances, and HR operations.

    Key Responsibilities

    1) Internal Systems & Infrastructure

    • Lead RCR’s use of project management tools (preferably ClickUp, but flexible); help design systems that support transparency, collaboration, and alignment across departments.
    • Guide our process documentation efforts, ensuring each staff role has clear, accessible SOPs that support sustainability.
    • Support the use of digital workplace tools like Microsoft 365 (especially SharePoint and Outlook) or comparable platforms (Google Workspace, Airtable, etc.).
    • Manage and evolve our use of Slack to support clear, inclusive team communication.

    2) HR Support & Staffing

    • Coordinate onboarding for all paid and unpaid staff.
    • Maintain and update staff documentation and position descriptions.
    • Participate in staff and leadership volunteer evaluations.
    • Administer HR tools and support hiring processes.

    3) Cross-Team Workflow & Systems Leadership

    • Supervise the Membership Coordinator and Bookkeeper, ensuring strong administrative and member support systems.
    • Collaborate across departments to ensure efficient workflows and accountability to organizational systems.
    • Support staff in using project management tools effectively; create documentation and guidance as needed.
    • Encourage adoption of tools and systems that improve clarity and reduce duplication.

    4) Strategic Planning & Finance Support

    • Support Executive Director and Board with annual strategic planning processes.
    • Assist with organizational budgeting and financial oversight.
    • Collaborate with bookkeeper and ED on coding, deposits, donor gift tracking, and 990 prep.

    5) Administrative & Project Management

    • Own and maintain the master calendar; ensure organization-wide transparency and alignment.
    • Provide support for internal meetings: scheduling, note-taking, documentation, and follow-up.
    • Conduct quarterly member satisfaction surveys and identify internal improvement opportunities.

    What You Bring

    • 3+ years of experience in operations, systems management, or nonprofit administration.
    • A strategic thinker who can balance big-picture planning with operational details.
    • Strong project management skills—experience with ClickUp or similar tools (Asana, Trello, Monday.com, etc.) is a plus.
    • Comfortable working with tech systems: ideally familiar with Microsoft 365 (especially SharePoint), but equally confident adapting to new platforms like Google Workspace, Airtable, or other cloud-based tools.
    • A natural problem solver who enjoys building systems, creating clarity, and helping others work more efficiently.
    • A natural curiosity for learning and applying new tools—especially those that help teams work better together.
    • Collaborative, fair, and calm under pressure.
    • Passion for inclusive, mission-driven work—especially in community sports or youth development.

    Work Schedule & Requirements

    This is a full-time, 40-hour/week position, including some evenings and weekends. The role is primarily remote, with limited in-person meetings and event support. Candidate must be Portland-based (or willing to relocate), have access to a reliable personal computer and cell phone, and a personal vehicle with insurance.
