    Position Title: Finance and Donor Relations Manager

    Location: Monroe, WA (On-site at the Food Bank office)

    Reports To: Executive Director, Sky Valley Food Bank

    Employment Type: Part-Time (Non-Exempt)

    Work Schedule: Monday through Friday, 8:00 AM – 12:00 PM (20 hours/week) Negotiable start time

    Compensation: $25 – $30 per hour DOE

    Benefits: Vacation and sick leave, 12 paid holidays, 401(k) program with employer match

    Position Overview

    Finance and Donor Relations Manager is a vital part-time leadership position that supports both the financial and donor engagement operations of our regional food bank. Working on-site at our Monroe, WA office, this individual will manage day-to-day bookkeeping, prepare reports for leadership, assist with donor communications, and help maintain compliance with federal and state regulations. This role is ideal for a detail-oriented, mission-driven professional who thrives in a small team environment and wants to make a real impact in the community.

    Key Responsibilities

    Finance & Accounting

      • Maintain accurate and timely financial records using QuickBooks.
      • Reconcile all bank accounts monthly.
      • Receive and process customer payments and bank deposits.
      • Issue timely vendor payments and manage vendor relationships.
      • Process timesheets, payroll distributions, and 401(k) contributions.
      • Submit all required state and federal payroll tax reports and payments.
      • Monitor the organizational budget and generate detailed financial reports for the Executive Director and Board of Directors.
      • Create and present monthly financial statements (P&L, balance sheet, cash flow).
      • Compile and distribute monthly Board Meeting packets.
      • Work with the CPA to support the annual audit and IRS Form 990 preparation.
      • Maintain insurance coverage and ensure compliance with all federal and state regulations.

    Donor Relations & Fundraising Support

      • Maintain donor database and track contributions accurately.
      • Create and send donor thank-you letters and handwritten cards.
      • Serve as the primary point of contact for donor communications and stewardship.
      • Cultivate new donors and nurture ongoing donor relationships.
      • Support planning and implementation of fundraising campaigns and donor events.
      • Assist in grant tracking and fundraising reporting.
      • Update and maintain the organization’s website with relevant donor and fundraising content.

    Operations & Administration

      • Open and process daily mail.
      • Support day-to-day administrative functions as needed.
      • Help maintain internal financial and donor-related procedures and controls.

    Essential Skills

      • Strong financial acumen and analytical skills.
      • Proficiency in financial modeling, forecasting, and budgeting.
      • Knowledge of accounting principles, financial regulations, and reporting standards.
      • Ability to work effectively and meet deadlines.
      • Must be available to work on-site (this is not a remote position).
      • Experience with QuickBooks or similar accounting software.
      • High standards for accuracy and attention to detail.
      • Strong verbal and written communication skills and ability to work collaboratively.
      • Ability to function effectively in an open and active office environment.
      • Exceptional interpersonal and active listening skills, with the ability to build respectful, supportive relationships with donors.
      • Clear and compassionate communicator, both written and verbal, with a talent for conveying the mission and impact of the organization.

    Qualifications

    Required:

      • 3+ years of experience in financial management, accounting, or related roles.
      • Strong attention to detail, organizational skills, and confidentiality.
      • Ability to work independently and manage multiple priorities.
      • Must be a U.S. Citizen or Permanent Resident and able to read, speak, and write the English language clearly.
      • Must pass a WA State Patrol criminal background check; a federal background check is required for candidates who have lived outside of Washington State.

    Preferred:

      • Bachelor’s degree in Finance, Accounting, or a related field.
      • Experience working in the nonprofit sector, particularly in donor relations or finance.
      • Familiarity with donor CRM systems.
      • Knowledge of GAAP and nonprofit-specific financial requirements.
      • Passion for hunger relief or community service.
      • Spanish language proficiency.
