    Job Title: Receptionist and Office Coordinator (Contract-to-Perm); Tetricus Location: New York City, NY (On-site)

    About the Opportunity

    Tetricus is seeking a Contract-to-Perm Administrative Support Professional for one of our clients – an established mental health and substance use outpatient clinic located in Midtown Manhattan.

    In this role, the Receptionist and Office Coordinator will serve as the first point of contact for clients and play a key role in ensuring the smooth operation of daily clinic activities.

    This is a contract position with potential for permanent placement, contingent on performance and clinic needs.

    The ideal candidate is proactive, dependable, and thrives in a fast-paced, client-focused environment. A high level of professionalism, discretion and strong interpersonal skills are essential.

    Responsibilities

    Reception & Client Services

    • Greet clients and visitors with warmth and professionalism
    • Answer phone calls, respond to emails, and manage general inquiries
    • Maintain an organized and welcoming reception area, print and file sign-in sheets
    • Assist clients with general administrative support

    Office Coordination

    • Coordinate daily office operations to ensure smooth workflow, liaison with office vendors as needed for routine maintenance and troubleshooting issues as needed
    • Maintain office supplies and place orders regularly
    • Schedule use of clinical rooms and coordinate staff calendars
    • Assist with client file maintenance
    • Plan & organize team events and gatherings
    • Affinity (drug testing portal): assist clinical team with scheduling tests, downloading reports, drop off mailings at FedEx
    • Help ensure compliance with HIPAA and clinic policies
    • Provide general support for clinicians and administrative team

    Systems & Administration

    • Help troubleshoot minor IT or equipment issues (e.g. Zoom, session recordings, phones, printers, fax)

    Qualifications

    • 2+ years of experience in an administrative or front desk role, ideally in a healthcare or mental health setting
    • Proficiency in Microsoft Office Suite, Google Workspace and Slack, experience with Divvy or expense management system a plus
    • Excellent communication and interpersonal skills
    • Highly organized with strong attention to detail and time management
    • Ability to handle sensitive information with professionalism and confidentiality

    Contract Details

    • Status: Contract-to-Permanent
    • Contract Duration: Initial 3–6 months with potential to transition to a permanent role based on performance
    • Start Date: ASAP
    • Schedule: Monday–Friday 10am - 6pm, in-person; occasional evenings as needed
    • Compensation: $25-30 hourly rate; eligible for benefits upon permanent hire
