    Description

    Executive Assistant

Location: Flexible within the U.S. but requires access to a major U.S. airport for travel.

    Position Type: Full-time

    About Us

At Partners for Public Good (PPG), we believe that when government works, communities thrive. Launched in March 2025, we are a fast-growing nonprofit dedicated to helping state and local governments harness core operational functions – procurement, staffing, digital infrastructure, and budgeting – to drive public impact.

Our journey began in 2011 at the Harvard Kennedy School’s Government Performance Lab, where we set out to transform public procurement. Since then, we’ve worked with hundreds of governments across the country to make their procurement systems more efficient, fair, results-driven, and strategic. In 2022, we launched the Procurement Excellence Network, putting our tools and strategies in the hands of over two thousand public servants.

Today, our team of doers, coaches, and advisors partners with governments to create lasting, impactful change. Our vision is simple: every resident has a government they can count on, every day.

    Role & Organizational Impact

The Executive Assistant will provide high-level strategic and administrative support to PPG’s Chief Executive Officer (CEO), Chief Operating Officer/General Counsel (COO/GC), and Vice President in advancing our organization's goals. Reporting to PPG’s Director, Finance & Operations and working very closely with the CEO, COO/GC, and Vice President, the Executive Assistant will play a vital role in enabling organizational effectiveness by facilitating smooth day-to-day operations for our executive team.

    Key Responsibilities

    Executive Support

    • Complete a broad variety of administrative tasks for the CEO, COO/GC, and Vice President including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries, and agendas; and compiling documents for meetings.
    • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, COO/GC, and Vice President, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
    • Liaise with PPG’s IT vendors to troubleshoot any technical issues experienced by CEO, COO/GC, and members of the Leadership Team as needed.
    • Maintain detailed executive contact lists and relevant data, e.g. in organization's CRM.
    • Respond to and manage email and phone communications on behalf of the executives.
    • Manage sensitive matters with responsiveness, confidentiality, and discretion.

    Project Management

    • Assist with tracking progress on strategic initiatives and organizational goals.
    • Organize and maintain executive files.
    • Conduct research and compile data for reports and presentations.
    • Prepare materials for high-level meetings, including agendas and other materials necessary for CEO, COO/GC, and Vice President to prepare for internal and external meetings.
    • Provide administrative assistance with resource and business development.
    • Support special projects and initiatives.

    General Operations & Administrative Support

    • Collaborate with and provide support to the Operations team, including Director, Finance and Operations and Operations Analyst, on office operations, vendor relationships, and procurement processes as needed.
    • Coordinate onboarding for new leadership staff.
    • Provide general administrative assistance to PPG team as needed.

    Qualifications

We’re looking for candidates who are:

    • Analytic solution-builders. You can break down complex problems. You develop actionable, clear, creative, and high-impact solutions.
    • Project managers at heart. You are a self-starter who can juggle multiple priorities, stay organized, and keep projects on track in a remote environment. You have a bias to action and take pride in being an implementer.
    • Strong communicators. You excel in verbal, written, and visual communication. You make technical or complex concepts accessible and engaging for a range of audiences.
    • Change catalysts. You recognize that true change requires culture shifts, capacity-building, and empowerment—in addition to better processes. You build trust and momentum, bringing stakeholders along with you while moving with urgency.
    • Adaptable. You thrive in a fast-paced, team-oriented environment where every project is unique, and you often must dive in and learn quickly.
    • Collaborative. You care for your colleagues and are quick to pitch in when someone needs help. You are comfortable giving and receiving direct feedback.
    • Mission-aligned. You are motivated by the opportunity to help state and local governments harness core operational functions so that every resident has a government they can count on, every day.

    Minimum Qualifications

    • Bachelor's degree or equivalent experience.
    • At least 2 years of administrative or executive support experience, with nonprofit experience preferred.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), financial or HR software (e.g., QuickBooks, ADP, or similar), Adobe, Canva, and comfort with other software.
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication skills.
    • Ability to prioritize and manage multiple tasks with minimal supervision
    • Willingness and ability to travel 3-5 times per year.
    • High level of professionalism, discretion, and confidentiality.
