Position Overview
CollegeBound is seeking a strategic, mission-driven Customer Relationship Management (CRM), Systems, and Data Manager to lead our organization’s data infrastructure, and collaborate in supporting technology systems, and staff training initiatives. This role is essential in ensuring our team has the tools, insights, and support needed to operate efficiently and effectively in service of student success.
The ideal candidate will bring Salesforce certification, a strong background in education, and deep proficiency in Microsoft 365 applications. They will be passionate about using data to tell stories, drive decisions, and improve outcomes for students, while also staying ahead of technology trends and best practices in the education sector.

Key Responsibilities
Data Strategy & Analysis
- Collaborate with CollegeBound leaders and advisors to establish, quality-check, and implement effective student-level data collection across all departments.
- Analyze data to identify best practices, areas for growth, and cause/effect relationships.
- Develop dashboards and reports to support program evaluation, fundraising, and strategic planning.
- Manage a reporting calendar and produce regular and ad hoc reports for leadership, board members, and external stakeholders.
- Communicate data insights to advisors, leadership, and external audiences to inform decision-making and share CollegeBound’s impact.
- Perform regular tests and evaluations to ensure data security, privacy, and integrity.
CRM & Database Management
- Serve as the primary administrator for the Salesforce CRM system, including user management, page layouts, reports, dashboards, and custom fields.
- Ensure data accuracy and integrity across systems, including student, donor, and program data.
- Document and enforce database policies, procedures, and standards.
- Conduct regular audits, data clean-ups, and updates to maintain database health.
- Manage integrations and apps within Salesforce to support communication, event management, and reporting.
- Segment stakeholder data for targeted communications and campaigns.
- Support financial reconciliation and coding of contributions in collaboration with finance staff.
Technology Systems & Infrastructure
- Collaborate in the implementation and optimization of Microsoft 365 tools (Teams, SharePoint, Outlook, Excel, OneDrive) to improve staff workflows and collaboration.
- Support Training staff in technology systems and tools, including onboarding new employees and ongoing support.
- Ensure consistency and efficiency in technology use across the organization.
- Monitor and implement data security policies and procedures.
- Stay current on emerging technologies and trends in education and nonprofit data systems.
Research & Innovation
- Monitor education research and trends to ensure CollegeBound staff are informed of relevant best practices.
- Collaborate with the Technology Manager and leadership team to develop and implement a data and systems roadmap that aligns with the organization’s strategic plan and supports its rapid growth.
- Build relationships with peer organizations to exchange ideas and identify innovative approaches.
- Work with leadership to incorporate research findings into staff training and program development.
- Recommend and implement new tools and systems to improve organizational effectiveness.
- Lead efforts to integrate artificial intelligence (AI) tools and automation where appropriate.
Qualifications
Required:
- Bachelor’s degree from a four-year college or university.
- Salesforce Administrator certification or equivalent credential.
- Minimum of 3 years of experience managing CRM systems, preferably in an educational or nonprofit setting.
- Strong proficiency in Microsoft 365 applications.
- Demonstrated ability to train and support staff in using technology tools.
- Excellent analytical, problem-solving, and communication skills.
Preferred:
- Experience in K–12, higher education, or college access/success programs.
- Experience with managing SMS and CTI Platforms
- Experience with form building and form integrations
- Familiarity with data compliance regulations such as the Family Educational Rights and Privacy Act (FERPA) and the General Data Protection Regulation (GDPR).
- Experience with project management tools (e.g., Monday.com) and platforms like SharePoint, WordPress, MailChimp, SurveyMonkey, and Zoom.
- Experience with artificial intelligence (AI) integration and API-based systems is a plus.
- Experience working in a nonprofit or community-based organization.
