    Location: Though our office is in Eugene, Oregon (Learn more about the City of Eugene), this position is open to being in person, remote or hybrid in Eugene or completely remote from the following states: Alaska, Arizona, California, Colorado, Florida, Hawaii, Idaho, Maine, Massachusetts, Michigan, New Mexico, New York, North Carolina, Oregon, Rhode Island, Texas, Utah, Vermont, Washington, Wisconsin and Wyoming.

    Who We’re Looking For

    The Review Program Specialist Level I (RPS I) or Bilingual Review Program Specialist I (BRPS I) supports OMRI’s mission to uphold organic integrity by collecting and preparing product applications for technical evaluation against regulatory standards. This entry-level position plays a key role in supporting the accuracy and efficiency of OMRI’s review process by conducting routine administrative product reviews and contributing to a client-centered experience through responsive and dependable service.

    As a (B)RPS I, you will collect application documentation and fees, maintain well-organized records, and work closely with teammates to resolve application issues and support continuous improvement efforts. You will be expected to manage assigned tasks with minimal oversight, demonstrate a sound understanding of review procedures, and seek clarification when faced with complex or unusual scenarios. This role involves careful attention to detail, managing deadlines, navigating data-rich environments, and responding professionally to client inquiries within a fast-paced, collaborative, and mission-driven environment.

    Starting salary: $38,630 to $45,630 per year (dependent on education and experience); 40 hours per week; flexible work hours; generous PTO

    This total pay range takes into account various factors that influence compensation decisions. These factors include, but are not limited to, skills, experience, training, location, licensure, certifications, and other business and organizational needs. The disclosed pay range estimate has not been adjusted for any geographical differences related to the location where the position may be filled. At OMRI, it is uncommon for an individual to be hired at or near the top of the posted pay range for their role. Compensation decisions are based on the specific facts and circumstances of each situation.

    Core Responsibilities

    Administrative & Documentation Management

      • Collect, organize, and prepare application materials, such as client intake forms, ingredient lists, manufacturing processes, technical documentation, and marketing content.
      • Collaborate with reviewers and team leads to clarify any missing or unclear information, ensure submissions meet acceptance requirements and the review process remains on track.
      • Efficiently enter, update, and manage client and product records in OMRI’s database, navigating dependencies with attention to detail and awareness of where sensitive information resides.
      • Perform routine administrative evaluations of product applications and review service requests, including quality assurance checks to ensure reviews meet established standards and support program accuracy.
      • Prepare and send invoices for service requests and follow up on outstanding balances, providing courteous and clear support to clients throughout the billing process.
      • Prepare clear, well-documented reports and make sound, evidence-based recommendations of administrative product listing status.
      • Manage administrative deadlines by tracking upcoming due dates, issuing reminders, and processing extension requests, demonstrating strong time management and consistent attention to detail.
      • Contribute to team and production goals by effectively managing a mix of administrative reviews and shifting between planned and priority assignments when urgent needs arise.

    Client-Centric Communication & Support

      • Act as a reliable, informed, and impartial point of contact for prospective and current clients, guiding them through service requests with clarity and professionalism while reinforcing OMRI’s standards and service expectations.
      • Ensure a positive client experience by delivering timely, courteous, and accurate communication, keeping clients well-informed and engaged throughout the review process.
      • Proactively look for missing or incorrect information in client submissions and clearly explain what’s needed to help them complete their application according to OMRI’s standards.

    Quality Management & Continuous Improvement

      • Ensure that all production work aligns with OMRI's quality management system by following documented procedures and contributing feedback to improve their clarity and effectiveness.
      • Help revise and improve documents, templates, and client communications that support the review process.
      • Join team discussions to share ideas for making workflows more efficient and agile.
      • Show commitment to growth by attending trainings, staying open to feedback, and working to improve technical and communication skills.
      • Suggest ways to improve information technology, client interactions, and administrative tasks that affect quality, efficiency, and customer service.

    Collaboration & Team Dynamics

      • Work closely with teammates and staff across departments to share ideas, support projects, and improve how we work together.
      • Adjust to shifting priorities, manage tasks effectively, and assist coworkers when workloads are high.

    Confidentiality & Data Security

      • Adhere strictly to OMRI’s technology practices and network security guidelines, ensuring client and organizational information is safeguarded.
      • Build trust with clients and stakeholders by clearly conveying processes, policies, and standards about the pending and listed products on the OMRI Products List®, while maintaining OMRI’s confidentiality policies.
      • Ensure the proper collection and filing of review documents, maintaining compliance with OMRI’s confidentiality policies and data security standards.

    Bilingual Service – Spanish Specialty [for bilingual candidates]

      • Provide bilingual service with clarity and professionalism, delivering accurate and courteous support in English and Spanish to clients and stakeholders during the review process.
      • Communicate review progress and status updates in Spanish or English, using a professional tone and accurate terminology to guide clients through review steps.
      • Complete review tasks in either English or Spanish, contributing to the evaluation of new applications, compliance renewals, product changes, and other service types as assigned.
      • Translate review-related documents between English and Spanish, applying strong language comprehension to maintain consistency and clarity in policies, procedures, and client communications.
      • Support Spanish-speaking stakeholders by contributing to the development or adaptation of templates, resources, or messaging that improve accessibility and understanding of OMRI’s services.

    Qualifications

    Education and Experience

      • Bachelor’s degree preferred
      • 2 years of experience in a general office or administrative role required
      • 2 years of experience in a customer service role preferred

    Skills and Competencies

      • Proficiency in standard office software, email, phone systems, and Adobe.
      • Superior written and oral communication skills in English (and Spanish for bilingual employees), with the ability to convey complex information clearly and concisely, emphasizing client service across various channels and audiences.
      • Effective task management skills and the ability to manage multiple priorities.
      • High-level attention to detail and the ability to process complex information and instructions effectively.
      • Strong analytical and problem-solving abilities, with a focus on detail and accuracy.
      • Ability to work collaboratively as part of a dynamic team, embracing change, continuous learning and professional growth.
      • Familiarity with and support for the organic industry and organic products.
