    Reports To: Director of Partnerships and Sponsorships

    Location: Southlake, Texas

    Travel Required: Approximately 15 days total: eight days annually for the HOSA International Leadership Conference (June) and seven days for the State Advisors Management Conference (September)

    Position Summary

    HOSA–Future Health Professionals is seeking a dedicated and organized Partnerships and Sponsorships Coordinator to join our mission-driven team. This role supports the coordination and fulfillment of partnership and sponsorship agreements that enhance HOSA’s programs and benefit our members, including leadership development programs, competitive events, and career-focused resources for over 330,000 future health professionals. This position offers a unique opportunity to connect leading health organizations and corporations with the most promising talent pool of future health professionals in the world. The ideal candidate will be a strong communicator, skilled in project coordination, planning, and logistics, proactive, and passionate about helping students prepare for careers in healthcare.

    As a key member of the Partnerships and Sponsorships Department, this individual will ensure that contractual commitments are fulfilled, communication with partners is timely and professional, and marketing and event initiatives are successfully executed. The coordinator will also contribute to the planning and delivery of events and resources that strengthen HOSA’s relationships with partners and sponsors.

    Key Responsibilities

    Partnership & Contract Management

    • Track 75+ partnership and sponsorship contracts to ensure all deliverables and timelines are met.
    • Collaborate with internal teams to verify that promised benefits are delivered to partners.
    • Prepare and send contract invoice information to the accounting department for billing and processing.
    • Maintain organized records of partnership agreements, communications, and deliverable documentation.

    Marketing & Communications

    • Assist with the creation and distribution of marketing materials that highlight partner initiatives and opportunities.
    • Design and send email blasts promoting webinars, partnership activities, and organizational updates.
    • Work collaboratively with the marketing team to enhance partner visibility through HOSA’s communication channels (LinkedIn, Instagram, Facebook, YouTube, Online Magazine, Website).

    Webinars & Event Support

    • Coordinate and manage webinars in collaboration with partners and HOSA staff.
    • Support the Partnerships and Sponsorships team in planning and implementing partnership-related activities at the International Leadership Conference (ILC), including 171+ exhibitions, 158+ workshops, 103+ competitive events and focus groups.
    • Provide on-site support during the ILC attended by 15,000+ HOSA members, advisors, health industry leaders, judges and VIPs.

    Departmental & Administrative Support

    • Provide general administrative assistance to the Partnerships & Sponsorships Department.
    • Assist in identifying new opportunities to engage partners and expand sponsorship participation.
    • Support special projects that strengthen HOSA’s partnerships and enhance experiences for members and advisors.

    Qualifications

    • Bachelor’s degree in marketing, communications, business, nonprofit management, or a related field preferred.
    • 1–3 years of experience in partnership coordination, marketing, event planning, or nonprofit program support.
    • Strong organizational and time-management skills with attention to detail.
    • Excellent written and verbal communication skills.
    • Experience with email marketing platforms (e.g., MailerLite), Microsoft Office Suite, and Google Workspace.
    • Ability to work both independently and collaboratively in a team environment.
