    POSITION: Film Department Coordinator

    HIRE DATES: Immediate – November 14th

    WORK HOURS: Contract. Monday – Friday, will require additional hours and weekends in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Local applicants are preferred.

    COMPENSATION: $800/week

    JOB DESCRIPTION: We are seeking a detail-oriented and experienced coordinator to support our Film Department and Creative Director in the execution of complex logistics and communications related to accepted films and filmmaker services. This is a short-term, full-time, in-person contract position ideal for someone with film or event production experience who thrives in a fast-paced, team-oriented environment.

    ENVIRONMENT: Applicants are expected to work efficiently and professionally in a fast-paced, collaborative production environment. Strong communication skills, organizational efficiency, and the ability to perform under pressure are essential.

    RESPONSIBILITIES:

    Pre-Festival:

    • Manage filmmaker itineraries using internal tracking systems and programmer-provided details
    • Coordinate filmmaker ticketing and fulfillment logistics
    • Support the Production Manager in ensuring the successful delivery of film files and smooth execution of production logistics
    • Gather and verify materials for Program Book and Pocket Guide
    • Compile and audit Film Department comp lists
    • Manage online schedule entries alongside the Film Marketing Coordinator
    • Prepare venue materials including moderator schedules, run-of-show documents, and theater scripts

    During Festival:

    • Act as primary point-of-contact at the Filmmaker Registration table
    • Support logistics at venues including line management and promo distribution
    • Assist Audience Award Coordinator with ballot tracking
    • Manage Film Department team scheduling and internal communication
    • Distribute materials and contact sheets to Film Department team

    QUALIFICATIONS:

    • 2+ years experience in film, festival, or event production roles
    • Experience managing logistics or administrative tasks in fast-paced environments
    • Strong working knowledge of spreadsheets
    • Familiarity with film festivals or independent film industry norms
    • Ability to manage multiple priorities with accuracy and efficiency
    • Comfortable with customer service and in-person interaction
    • Strong written and verbal communication
    • Detail oriented with a proactive and collaborative approach
    • Must be available for in-person work in Austin, TX
