    Job Title: Member Services Manager

    Reports To: Chief Executive Officer (CEO)

    The Need

    At a moment when we seek to significantly increase our impact to meet the critical and growing national need, the National AHEC Organization (NAO) is searching for a Member Services Manager.

    This is a fully remote position, 16 hours per week, with travel expected to occur up to two times per year. The position reports directly to the NAO Chief Executive Officer and is part of a small, collaborative team. The position will pay $28 - $32 per hour, commensurate with skills and experience. The position allows for flexible scheduling, with the ideal week consisting of 4 hours of work per day Monday – Thursday. While the standard schedule is up to 16 hours per week, there may be opportunities for additional hours depending on workload and availability. Any increase in hours will be mutually agreed upon in advance.

    Position Purpose

    The Member Services Manager plays a vital role in enhancing member engagement and delivering exceptional value to the National AHEC Organization’s (NAO) state and regional Area Health Education Centers (AHECs) nationwide. Working under the guidance of the CEO and in collaboration with the Membership Committee, the Member Services Manager will focus on fostering relationships, supporting member needs, and ensuring a seamless membership experience.

    Responsibilities

    Member Engagement

    • Drive member engagement and deliver exceptional services to ensure high levels of member satisfaction, with the goal of achieving and maintaining maximum member retention.
    • Serve as the primary point of contact for members, delivering high-quality customer service by addressing concerns, finding solutions, and responding to inquiries promptly.
    • Facilitate onboarding for new members and member organizations, introducing them to NAO’s benefits and resources.

    Membership Management

    • Maintain and update the membership database to ensure accuracy of member details, including leadership changes, contact information, and host institutions.
    • Oversee the annual membership renewal process, providing support to members in locating invoices, processing payments, and answering questions.
    • Assist in the recruitment of new members through targeted outreach and communications.

    Program and Event Coordination

    • Schedule, promote, and manage virtual meetings and webinars using platforms like Zoom, ensuring a seamless experience for participants.
    • Record attendance, prepare follow-up materials, and ensure event content is accessible to members via the member platform.
    • Support educational initiatives, such as AHEC 201 curriculum sessions, by managing registrations, evaluations, and resources.
    • Administer the AHEC Scholars Digital Badge program, working with centers to track progress, process badge requests, and report updates to the Board of Directors.

    Qualifications

    • Communication Skills: Exceptional customer service abilities with a focus on responsiveness and building relationships.
    • Database Management: Skilled in maintaining membership systems and ensuring accurate data entry.
    • Technical Proficiency: Advanced experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual platforms like Zoom.
    • Organizational Skills: Capability to handle multiple priorities, meet deadlines, and deliver consistent results.
    • Event Management: Experience coordinating virtual and in-person events is a plus.
    • AHEC knowledge: A knowledge of AHECs and their operations is a plus. (See more about AHECs below)
    • Other duties as assigned: This role includes occasional responsibilities outside the primary job scope to support overall team success and operational continuity. These duties may include cross-training in related functions to ensure smooth departmental operations and provide coverage when needed; assisting with special projects or seasonal workflows that require additional hands or different skill sets.

    Skills and Competencies

    • Strong attention to detail in managing records, event logistics, and digital communications.
    • Ability to collaborate with diverse stakeholders and work effectively across a broad target audience.
    • Familiarity with basic accounting principles to manage simple budgets and process invoices.
    • Comfortable using with e-commerce tools to manage event registrations and product sales.

    Education:

    • A relevant Bachelor's degree in fields such as Education, Communications, Business Management, Nonprofit Management, Public Relations, or Public Administration.

    Experience:

    • Five years of related experience.
    • Prior work for or with an AHEC a plus.

    AHEC and NAO

    The Area Health Education Center (AHEC) program was created by Congress in 1970 as a means of addressing healthcare workforce shortages, particularly in rural and hard-to-reach areas. While all AHECs are federally funded, many are also state-funded and/or receive funding from additional grants and contracts.

    AHECs are designed to be responsive to local health needs and serve as an important link between academic training programs and community-based outreach programs.

    NAO, established in 1997, is the association of more than 250 member AHECs across the nation and U.S. territories. Among its goals are to provide a unifying voice for AHECs, to facilitate education and networking, and to collaborate with other organizations that have an interest in health care and health workforce development.
