    Description

    The Executive Assistant for the PM shift provides high-level, confidential administrative and strategic support to one or more senior executives, ensuring efficient workflow and maximizing executive productivity outside of standard business hours. This role requires exceptional organizational and communication skills, discretion, and the ability to anticipate needs and prioritize tasks effectively in a dynamic environment.
    Key responsibilities
    • Calendar and Schedule Management:
      • Manage and prioritize executives' calendars, appointments, meetings, and events, including those scheduled for later evening or non-standard hours.
      • Coordinate and schedule virtual meetings and video conferences, accounting for different time zones.
      • Proactively anticipate scheduling conflicts and adjust plans to maximize executive time efficiency.
    • Communication Management:
      • Handle incoming calls, emails, and correspondence, prioritizing responses and ensuring timely follow-up.
      • Draft and edit sensitive and routine communications, reports, presentations, and other documents on behalf of the executive.
      • Serve as a liaison between the executive and internal/external stakeholders, maintaining professional communication channels.
    • Administrative and Office Support:
      • Prepare and organize materials for upcoming meetings and presentations.
      • Manage and maintain filing systems and organizational records, both physical and electronic.
      • Assist with general office duties, potentially including data entry, managing mail, and ensuring office organization at the end of the day.
      • Support special projects and initiatives, coordinating resources and tracking progress as assigned.
    • Event and Travel Coordination (potentially after-hours):
      • Coordinate firm-hosted and internal/external events, occasionally outside standard business hours.
      • Coordinate and manage travel arrangements, including flights, accommodation, and itineraries for business trips, which may include booking for evening departures or arrivals.
