    Data Entry Officer (Volunteer Role)

    Position Title: Data Entry Officer (Volunteer)

    Reports To: Monitoring & Evaluation Lead, Programs Manager

    Commitment: 5–10 hours/week

    Duration: 12 Months (with possibility of renewal and transition into a part-time paid role depending on funding availability)

    Role Summary

    The Smile Outreach is seeking a detail-oriented and reliable Volunteer Data Entry Officer to support the accuracy, integrity, and security of data generated across our programs. This role is crucial in documenting field activities, organizing feedback from adolescents, updating dashboards, and ensuring donor reports are supported by solid, traceable evidence.

    Key Responsibilities

    Data Collection & Input

    • Enter field data (attendance, survey forms, outreach feedback) from facilitators, club coordinators, and project teams into standardized templates and Google Sheets.
    • Ensure all records are complete, accurate, and match the documentation submitted.
    • Transcribe and organize survey responses, focus group insights, and testimonial content from participants.

    Data Management & Documentation

    • Maintain up-to-date and organized records of all project activities.
    • Help clean and validate data for reporting and presentation use.
    • Tag and file images, videos, and consent forms using agreed file-naming protocols.

    Monitoring & Evaluation Support

    • Collaborate with the M&E team to organize and analyze outreach data across Bold Spaces, Pad Stations, Writing Competitions, and Club Activities.
    • Support the generation of monthly summaries or infographics for internal and external reports.
    • Keep digital trackers and attendance sheets up to date across projects.

    Operational & Strategic Support

    • Flag inconsistencies or gaps in reports for review and follow-up.
    • Assist with data summaries during quarterly grant or donor reporting periods.
    • Participate in knowledge-sharing sessions and internal audits to improve data practices.

    Qualifications & Skills

    • A minimum of a diploma or equivalent certification in statistics, social sciences, computer science, or a related field.
    • Experience in data entry, data collection, or administrative support (volunteer or professional).
    • Strong proficiency with Google Sheets, Excel, and basic data visualization tools.
    • Excellent attention to detail, accuracy, and confidentiality.
    • Ability to work independently with minimal supervision in a remote setting.
    • Experience working in nonprofit or grassroots programs is a plus.

    Disclaimer

    Volunteers in this role may be considered for a part-time paid opportunity based on performance and funding availability.
