    Position Overview

    Third Sight, LLC seeks a detail-oriented and proactive Administrative Assistant/Project Assistant to support team organization and drive success for disability-focused projects in a flexible hybrid environment. Successful candidates will demonstrate a high attention to detail, proven ability to work independently and collaboratively, strong analytic curiosity, creativity, excellent communication skills, and experience leading administrative tasks.

    Requirements of candidate:

      • Bachelor’s degree plus 2-3 years of related work experience, or high school diploma with 5+ years of relevant experience
      • Proficiency in MS Office and Adobe software
      • Excellent interpersonal and communication skills, able to engage with individuals at all levels and from diverse backgrounds
      • Strong time management and prioritization abilities
      • Demonstrated capacity to work both independently and as an effective team member
      • Outstanding writing and editing skills
      • Meticulous attention to detail and accuracy
      • Critical thinking and problem-solving skills
      • Experience planning, scheduling, and handling logistics/administrative tasks
      • Interest or experience in disability inclusion strongly preferred

    Responsibilities may include:

      • Oversee project deadlines, tasks, and team support logistics
      • Assist in the organization and creation of grant proposals
      • Coordinate literature reviews and research with project teams
      • Support participant recruitment, correspondence, screening, and orientation
      • Write, edit, and develop reports
      • Plan and facilitate logistics for meetings and events
      • Attend meetings and take detailed notes
      • Develop and maintain online filing systems
      • Set up new projects, assist with implementation, and prepare closeout documentation
      • Manage administrative requests and queries from senior managers
      • Support a diverse team through virtual collaboration and periodic in-person meetings
      • Coordinate information dissemination events
      • Organize and schedule appointments using administrative software
      • Assist in the creation and preparation of scheduled reports
      • Maintain, update, and develop office policies/procedures as needed
      • Submit and reconcile expense reports across projects
      • Maintain secure, accurate project records and safeguard participant confidentiality
      • Adhere to data collection and management protocols
      • Perform miscellaneous job-related duties as assigned
      • Project travel may be required

    Position Details

      • Contractual, renewable for up to one year
      • Compensation: $35 per hour
      • Reimbursement for pre-approved travel expenses and mileage with receipts
      • Maximum: 20 hours per week
      • Hybrid role: Flexible remote work with some in-person meetings/events as required
