    Description

    POSITION OVERVIEW

    A private foundation is seeking a Sr. Program Associate to support our grant making, programs, and general office management. The Foundation’s work includes grant making focused on education, youth development, arts and culture, and food access in the Greater Boston area along with a scholarship and mentoring program to help first generation college students achieve their academic potential. The Sr. Program Associate will play a key support role in carrying out the Foundation’s mission and should value and want to advance our impactful work promoting access to, and education about, mentoring and supporting young adults, the arts, farming, and access to healthy food.

    This is a full-time, in-office position based in the Foundation's office in the Back Bay area of Boston, with occasional local travel when needed.

    RESPONSIBILITIES

    Program and Grantmaking Operations

    • Foster positive relationships with scholarship program participants
    • Provide key support and coordination of volunteer mentors, including recruiting, onboarding, and ongoing management
    • Source resources on internships and other relevant topics to share through various channels to support program participants
    • Ensure scholarship program website and LinkedIn and any other social media is updated and provides necessary information
    • Build systems to collect data, distribute news and resources, and support participants
    • Maintain the grant database, GivingData, to ensure records are up to date
    • Execute formal grant acceptance and rejection letters in conjunction with the Deputy Director
    • Monitor and track grantee information, reports, and other requirements
    • Assist in maintaining accurate and organized records of scholarship program participants, including regular updates

    General office management

    • Manage day-to-day office needs including answering phones, greeting visitors, sorting and opening mail, ordering supplies, and other administrative tasks
    • Provide general administrative support including scanning, organizing, and inputting and maintaining electronic and paper files
    • Compile meeting agendas and materials, record meeting summaries, and facilitate meeting follow-up
    • Work with the Deputy Director and outside IT consultant to make sure that all office technology needs are met and running smoothly
    • Perform administrative tasks as needed to ensure proper management of the Foundation’s grantmaking program
    • Manage event planning, in collaboration with other staff members, to provide high quality experiences for our program participants

    QUALIFICATIONS

    • 3-6 years of administrative, office management, or operations support required. Experience in nonprofits or philanthropy is a plus.
    • A clear, proactive, communicator who is comfortable working in a small team and is willing to ask questions, take responsibility, and be accountable.
    • Strong interpersonal skills with the ability to build and maintain positive relationships with colleagues, grantees, volunteers, and students.
    • Excellent written and oral communication, with strong attention to detail.
    • Strong organizational and time management skills and ability to multi-task.
    • Belief in the Foundation’s work to remove barriers for talented, hardworking students to help them achieve their academic potential in college and to financially support organizations focused on education, youth development, food access, and arts and culture.
