    Altum Consulting is pleased to be partnering with Synchronicity Earth USA in their search for a Finance and Administration Coordinator.

    About the Role:

    This role is essential to the smooth operation of Synchronicity Earth USA, providing administrative, financial, and logistical support to Senior Staff and Board of Directors. The ideal candidate will have bookkeeping experience and be comfortable managing a range of operational activities, ensuring efficiency and compliance while supporting the organisation’s fundraising work.

    What you will do:

    Manage day-to-day operational and administrative activities of Synchronicity Earth USA, ensuring efficient communication and record-keeping.

    Finance and compliance:

    • Support financial transaction processing, including processing payments, expense tracking, and liaising with accountants.
    • Assist with bookkeeping tasks and ensure financial records are accurate and up to date.
    • Work with external providers to oversee state registrations for fundraising and compliance requirements, ensuring timely renewals.
    • Liaise with the UK finance and operations teams to improve processes and align workflows.

    Fundraising support:

    • Maintain and update the contact and donor database, supporting fundraising efforts.
    • Provide logistical support for events and meetings, working closely with the Synchronicity Earth UK team.

    Governance support:

    • Support the Board: schedule Board meetings, prepare meeting packs by collating content from a range of stakeholders, take minutes, and track action points.
    • Manage diary scheduling for Senior Staff and Board of Directors. Organise and book travel for Senior Staff and Board of Directors as needed.

    What you will bring to the team:

    • Experience in administration, bookkeeping, or financial management within a small organisation.
    • Strong organisational skills, with the ability to manage multiple tasks and deadlines.
    • Experience handling financial transactions, expense management, and liaising with accountants.
    • Excellent attention to detail and accuracy in maintaining records.
    • Ability to work independently while collaborating effectively with remote teams.
    • Strong written and verbal communication skills.
    • Experience coordinating events, meetings, and travel logistics.
    • Proficiency in Microsoft Office, accounting software, and CRM/database management.
    • Understanding of non-profit governance and compliance processes (desirable).
    • A proactive, problem-solving approach with a commitment to supporting biodiversity conservation.

    Benefits

    • Part-time and flexible remote working (hours include 1 hour paid lunch)
