Position Overview
Arts 4 Schools is seeking a detail-oriented, proactive Arts Administration Intern to support the day-to-day operations of our virtual office. This intern will play a key role in keeping our administrative systems organized, supporting communication with schools and partners, and helping ensure that programs run smoothly behind the scenes.
This is an excellent opportunity for a student or emerging professional interested in arts administration, nonprofit management, or education who wants hands-on experience working closely with the Executive Director.
Key Responsibilities
Administrative & Operations Support
- Help track day-to-day office operations and administrative tasks in a virtual environment
- Maintain and update internal spreadsheets, calendars, contact lists, and project trackers
- Assist with organizing digital files, forms, and documents to keep the office workflow efficient
Communication & Follow-Up
- Make phone calls and send emails on behalf of Arts 4 Schools to schools, teaching artists, vendors, and partners
- Confirm schedules, program details, and assignments with staff, instructors, and volunteers
- Follow up with team members to ensure tasks and job assignments are clear and on track
Program & Staff Coordination
- Help ensure that everyone involved in programs (teaching artists, staff, volunteers) has their assignments, deadlines, and instructions
- Track the status of projects and prepare simple progress updates for the Director
- Support scheduling of virtual meetings and assist with follow-up notes or action items
Finance & Invoicing Support
- Assist with tracking invoices sent and received for programs and services
- Help confirm that invoices are processed and recorded accurately
- Support simple reconciliation tasks (matching payments to invoices, updating spreadsheets, etc.) under the Director’s guidance
Training & Organizational Development
- Work closely with the Executive Director to learn how the organization runs day-to-day
- Assist in putting systems, checklists, and processes in order so that business operations are clear and organized
- Help prepare documents, templates, and communications that can be sent out to schools, partners, and internal team members
Qualifications
- Strong interest in arts administration, nonprofit management, business administration, education, or related fields
- Excellent organization skills and attention to detail
- Comfortable making professional phone calls and sending emails on behalf of the organization
- Reliable, self-motivated, and able to follow through on tasks with minimal supervision in a virtual setting
- Strong written and verbal communication skills
- Basic proficiency with common office tools (e.g., Google Workspace or Microsoft Office: Docs/Word, Sheets/Excel, email, calendar)
- Ability to handle confidential information with professionalism
- Prior administrative or customer service experience is a plus, but not required
Time Commitment
- Part-time, 16 hours per week with some flexibility.
- Ideal commitment: one academic semester or equivalent term
Mom -Thurs from 9 am-1pm.
