RIVET is seeking a Marketing Assistant to support the CMO and marketing team by streamlining scheduling, meeting prep, contact tracking, and project management. This role also supports campaign workflows, partner coordination, and daily operations in a fast-paced startup, keeping timelines on track and ensuring smooth communication across teams and partners.

Core responsibilities
Assistant to the CMO (50%)
- Systems: Develop systems to streamline the CMOs workflow; Track and direct day-to-day tasks to maximize efficiency and ensure CMO is focused on key needs.
- Logistics: Schedule meetings and ensure CMO and internal and external attendees are prepared.
- Communications: Liaise with external constituents on behalf of the CMO, building and strengthening relationships through positive and efficient engagements.
- Business development: Track meeting notes, follow-up tasks and attendee stewardship steps.
- Travel: Plan, schedule and manage trips to maximize opportunities for RIVET’s growth.
- Hiring: Assist with posting job descriptions, scheduling interviews, and onboarding preparation for new marketing hires.
- Events: Manage lists and logistics for IRL and virtual cultivation events targeted to senior-level marketers.
Marketing Assistant (50%)
- Project Management: Develop and Maintain marketing projects tracker and prepare weekly status summaries.
- Campaign Coordination: Track creative and content deliverables across campaigns and support production timelines.
- Vendor & Creator Support: Liaise with freelancers, agencies, and creators.
- Brand Research Support: Draft briefs on prospective partners, collaborators, or campaign-aligned opportunities when needed.
- Asset Management: Upload and organize final creative assets, decks, and reports, maintaining consistent folder structures and file naming across Gdrive.
- Documentation Upkeep: Maintain internal SOPs, shared templates, and system documentation.
- Marcom Tech Stack Management: Ensure current tech stack licenses and passwords are organized and saved.
Compensation: USD $50,000
- FTE, U.S.-based; for non-U.S. candidates, salary will be adjusted based on local market data

Location: Fully remote
Time commitment: We ask that all full-time staff members maintain daily overlap with core team hours. For this role specifically: Mon-Fri from 8a-4p PT.
Weʼre looking for:
- 2–3 years of experience in administrative, marketing operations, or project management roles, ideally supporting a senior leader
- Excellent organizational and time management skills, with proven ability to track details, manage shifting priorities, and follow through on multiple tasks
- Clear and concise written and verbal communication skills, including comfort drafting emails and internal updates in American English
- Familiarity with tools like Google Workspace, Monday.com, and Slack and the ability to learn new systems quickly
- Experience managing logistics for meetings, travel, or events — or demonstrated transferable experience from roles with similar complexity
- Superb attention to detail so that there is confidence that one’s work will not need to be double checked for accuracy
- Calm, solution-oriented mindset, especially when navigating last-minute changes or unexpected needs
- Proactive and self-directed, with the ability to identify what’s needed, communicate it clearly, and get it done without micromanagement
- Excitement about working in a startup or mission-driven organization, where systems are still being built and flexibility is key
