    Description

    The Development and Communications Coordinator (DCC) plays a vital role in supporting the Chief Development Officer (CDO) and Development Department by executing day-to-day operations across fundraising, communications, and events. This position helps ensure the smooth and effective function of the department by managing donor communications, maintaining the database, coordinating campaigns and event logistics, and supporting internal systems.

    In partnership with the CDO and Assistant Director of Development (ADOD), the DCC will help implement donor engagement strategies, oversee accurate data entry and gift processing in Raiser’s Edge, and support the execution of appeals, events, and digital campaigns. The DCC also manages the department's communications calendar, social media platforms, and outreach content, and works across departments to ensure strong brand identity and donor stewardship.

    Success in this role will be measured by the ability to maintain operational systems, support constituent engagement, track and report on fundraising performance, and ensure high-quality communication and event execution in support of the agency’s development goals.

    Location: In Person, Bonnie Brae Campus (Liberty Corner, NJ)

    Position Type: Full time; Monday to Friday, between 9am-5pm; Occasional nights and weekends

    Compensation: Starting at $57,000, Commensurate with education and experience

    Essential Duties and Responsibilities

    Development Operations

    • Maintain organized shared drive and updated records and documents (digital and physical) for the Development department.
    • Serve as the first point of contact for general development inquiries; route to appropriate staff as needed.
    • Partner with CDO to manage the Development and Communications master calendar and support the coordination of timelines.
    • Provide general and administrative support for CDO and department, including managing development inboxes, donor inquiries, submitting check requests and tracking department expenses.
    • Assist with internal process improvements and new system integrations as the development team’s needs evolve.
    • Support tracking and coordination of foundation and corporate grant deliverables and reporting schedules.
    • Partner with ADOD to coordinate volunteer opportunities to support the development department and fundraising events.
    • Other departmental duties as needed.

    Donor Engagement and Data Management

    • Support the team’s fundraising appeals and digital fundraising campaigns, including drafting acknowledgment letters, emails, and special messages.
    • Work with program and clinical staff to coordinate donor briefings, tours, and stewardship activities.
    • Proactively research prospective funders and coordinate with the CDO on next steps.
    • Manage and update online donation pages through platforms such as GiveSmart, Classy, Eventbrite, or similar.
    • Maintain donor data in Raiser’s Edge, including timely entry of all gifts, pledge tracking, batching, event participation, and segmentation.
    • Complete all aspects of donation gift processing, including donor follow-up, printing and mailing acknowledgments, and fulfilling pledge payments.
    • Provide regular revenue reports to the Development and Finance teams for reconciliation, progress-to-goal tracking, and campaign performance.
    • Assist with campaign coding, appeal performance reporting, and moves management tracking in partnership with CDO/ADOD.
    • Make recommendations on data structure to support reporting and evaluation needs.
    • Perform regular quality checks of donor data to ensure accuracy and completeness.

    Communications and Marketing

    • Partner with the CDO to develop and implement a communications and social media strategy.
    • Manage a content calendar for email marketing, social media, appeal campaigns, donor spotlights, and announcements.
    • Design graphics and visual content using design tools for digital and print use communications including appeal letters, e-blasts, flyers, invitations, and event materials.
    • Draft and distribute press releases, agency announcements, and other public-facing communications.
    • Collaborate with other departments to ensure consistent messaging and alignment with organizational brand, goals and objectives.
    • Monitor website and suggest updates to reflect current campaigns, events, and impact stories.
    • Track engagement metrics for digital campaigns (e.g., email open/click rates, social media reach) and produce monthly reports.

    Event Planning

    • Assist the CDO and ADOD in planning and executing fundraising and donor stewardship events, including the Tartan Ball, Golf Classic, and other fundraising or donor-focused events.
    • Partner with ADOD and coordinate event logistics including event communications, RSVPs, materials, signage, and digital promotion, as well as event-day execution (e.g., registration, volunteer coordination, setup, wrap-up, etc.).
    • Oversee all aspects of auctions and raffles at fundraising events, including soliciting in-kind donations (goods and services), coordinating item collection and display, and overseeing the on-site event logistics and post-auction fulfillment.
    • Work with ADOD to coordinate post-event success analysis, noting ROIs and necessary trends that can further refine future events.
