    Clubhouse International is hiring an Administrative Assist / Bookkeeper:

    Position: Administrative Assistant /Bookkeeper

    Reports to: Chief Operating Officer

    Hours: Generally, Monday – Friday 9:00am-5:00pm

    Type: Exempt

    Location: Fully Remote

    Overview:

    Clubhouse International is a multi-national non-profit organization promoting the Clubhouse model of psychosocial rehabilitation. It is a membership organization providing guidance, training, technical assistance, consultation, conferences, leadership development, advocacy, branding and communications, and quality assurance programs for participating Clubhouses and their members, staff, board members and other interests groups. Clubhouse International disseminates information relating to the Clubhouse model and mental illness and organizes and manages private and public forums associated with this work.

    The Administrative Assistant / Bookkeeper will contribute to the work of the organization by providing key administrative support functions in the areas of accounting and program related activities.

    Responsibilities:

    1. Working with Accounting Manager on assigned projects including but not limited to bill.com and Quickbooks Online. This work includes Accounts Receivable, Accounts Payable, and other bookkeeping tasks associated with managing financial records.
    2. Working with the Program team will include working closely with staff, volunteers and member Clubhouses with various assigned administrative support activities including but not limited to :
      • Working closely with staff, volunteers and member Clubhouses to assist with travel and per diem stipend processing and expenses for onsite accreditation visits.
      • Managing the American Express charges for the travel vendor.
      • Assist the team in chasing down unpaid dues and accreditation fees.
      • Assisting with monthly state contract and funder reporting
      • Assisting in scheduling and registration for conference and training events
      • Updating Clubhouse contact and other information in our databases

    Experience and Qualifications:

    • At least 3-4 years of Related Bookkeeping experience (Accounts Payable and Acounts Receivable).
    • Experience with QuickBooks Online or another bookkeeping system
    • Experience working with a team in an administrator position
    • Proficiency with Microsoft Excel, Word and Google Docs
    • Comfortable with online technology
    • A self-starter with very strong organizational and attention to detail skills as well as independent time management skills
    • Ability to work effectively in a fully remote organization
    • Excellent oral, writing and presentation skills
    • Ability to multi-task, prioritize workflow and meet deadlines
    • Ability to represent the organization and interface with all levels of staff, board, volunteers, provider agencies and representatives of member Clubhouses while maintaining a professional, diplomatic, tactful and helpful attitude and behavior
    • Ability to protect individual and organizational confidentiality
    • Willingness and ability to learn new software and systems
    • Willingness and ability to work as part of a team including maintaining successful work relationships with peers, colleagues and constituents
