    OPERATIONS AND HUMAN RESOURCES ASSISTANT

    THE ORGANIZATION:

    Started in 2012, Volare (formerly Network for Victim Recovery of DC or NVRDC) creates equitable healing and dignified experiences for survivors of crime by providing free, trauma-informed advocacy, therapeutic, and legal services in conjunction with strategic litigation, policy advocacy, and education to transform existing responses to harm. We are a growing DC nonprofit organization with a team of passionate and dedicated staff. Volare believes in fostering strong relationships with other DC providers in the hopes that the victim recovery process will be seamless and complete.

    THE OPERATIONS AND HUMAN RESOURCES ASSISTANT POSITION:

    Volare seeks a full-time Operations and Human Resources Assistant to provide administrative and operational support to Volare and the organization’s leadership team. This individual will be well- organized, highly proficient in software technology, able to troubleshoot, and have excellent follow-through on tasks.

    This position will report to Volare’s Operations and Human Resources Manager and will be responsible for performing a range of administrative tasks to support the day-to-day functions of the organization and its offices.

    The ideal candidate will have a documented record of organizational skills and be committed to working with people from various backgrounds to demonstrate Volare’s dedication to social justice and access to justice for all victims of crime in DC.

    BENEFITS PACKAGE:

    This is a full-time (35 hours per week), FLSA, exempt, at-will position with an annual compensation range of $58,000-$62,000 contingent upon experience. Volare offers a competitive benefits package for paid time off, contribution for the cost of health care coverage, paid federal holidays, retirement plan options with up to a 3% match and vesting after one year, and professional development.

    POSITION PRIMARY RESPONSIBILITIES:

    • Operations and Infrastructure Support
      • Provide operational support to staff working across diverse environments, including shared office spaces, telework settings, partner locations, and in the field as needed.
      • Serve as the point of contact for reserving rooms, scheduling space usage, and ensuring staff can effectively utilize shared spaces.
      • Coordinate with the landlord and building maintenance to ensure access and functionality at Volare’s office.
      • Package and mail pick up and scan for documentation and distribution.
    • Vendor and Contract Management
      • Serve as the point of contact for office equipment, ensuring timely updates to the equipment log and coordinating repairs, replacements, and assignments.
      • Support vendor and contract procurement processes, including documenting contracts, tracking invoices, and managing renewals.
    • Technology and Cybersecurity
      • Collaborate with IT vendors to protect the organization’s technological infrastructure against cybersecurity threats.
      • Assist with managing Volare’s cell phone system, including training staff on usage, maintaining ring group functionality, and managing replacement phones.
      • Work with the managed IT service provider to troubleshoot technology issues, including laptops, mobile phones, and the Voice over Internet Protocol (VoIP) phone system.
      • Coordinate office equipment and serve as contact with managed IT service provider, to ensure the equipment log is updated and equipment is quickly repaired, replaced and assigned to ensure that staff have the technology they need to work efficiently;
    • Regulatory and Compliance Tasks
      • Assist Operations and Human Resources Manager in ensuring compliance with record keeping requirements;
      • Update and maintain Volare’s annual charitable licenses and other regulatory compliance tasks;
      • Support benefits and healthcare administration, including open enrollment and fiscal year compliance.
    • Staff Support and Resource Management
      • Coordinate office supply requests, oversee approvals, and manage delivery to staff.
      • Assist with personnel system updates and the creation and maintenance of staff resource materials and employment postings.
      • Assist with recruitment tasks including intern on and off boarding.
      • Provide support for staff and office events, including planning, ordering food, and managing day-of preparation and logistics.
    • Leadership and Administrative Support
      • Assist the leadership team with scheduling, document execution, and other administrative needs.
      • Support the Operations and Human Resources Manager in developing and maintaining systems that ensure staff have the tools and resources needed to work efficiently.
    • Other Duties as Assigned
      • Perform other duties as needed to support Volare’s overall operations.

    QUALIFICATIONS:

    • Human Resources experience preferred but not required.
    • Extremely well organized;
    • Excellent problem solving skills;
    • Highly proficient software skills, including with Adobe, QuickBooks Online, Excel, Word, Google Docs, and PowerPoint, and the ability to adapt to new technology requirements;
    • At least 2-3 years of experience related to office support functions;
    • At least 1 year of experience troubleshooting internet, laptops, iPhone cell phone applications, multifunction printers, monitor connections, and audio connections.
    • Demonstrated experience in handling and prioritizing multiple and varied tasks; and
    • Excellent interpersonal and communication skills.

    Compliance with partner/affiliate policy may be required to fulfill core duties detailed in your job description. Such partners/affiliates may include but are not limited to District and Federal Court systems, MedStar Washington Hospital Center, Metropolitan Police Department, DCFNE and the like. Such directives may include but are not limited to use of personal protective equipment, health testing (such as Tuberculosis screening), flu and COVID vaccine requirements, and other directives as determined by Volare’s Executive Director when necessary to keep staff, clients, and partners safe and healthy.

    It is anticipated that this position will require a hybrid of in person work at the Volare office, in court, at the hospital, on-scene, at outreach events, staff meetings, trainings, fundraising events, partnership meetings, or other locations, and telework. This includes attending events on weekends and evenings.

    Additionally, this position requires residency within the DC region as defined by the ability to consistently respond in person as part of the core job function of this role.
