    Job Title: Administrative and Development Assistant

    Location: New York/New Jersey Hybrid Remote

    About Us:

    Founded in 1982, American Friends of ELEM is Israel’s leading nonprofit organization dedicated to treating and transforming the lives of troubled and at-risk youth.

    The 13,000 young people we serve annually face-to-face and online deal with tremendous challenges, such as domestic violence, substance abuse, neglect, bullying, homelessness and prostitution.

    ELEM works with secular and religious Jews; Christian and Muslim Arabs, including Bedouins; immigrants, including those from the Former Soviet Union and Ethiopia; and the LGBT community, most of whom live on the streets and will not seek help from traditional social service groups. ELEM’s hundreds of professionals and thousands of volunteers don’t wait for referrals to treat these youth but seek them out on their turf — on the streets, in schools, on the Internet and at bars and nightclubs.

    Job Description:

    The Administrative and Development Assistant will play a vital role in supporting American Friends of ELEM’s CEO and overall organizational operations. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. The ideal candidate is proactive, resourceful, and passionate about working in a mission-driven nonprofit environment.

    Responsibilities:

    Executive Support:

    • Provide administrative support to the CEO, including managing schedules, coordinating meetings, travel arrangements, and preparing materials.
    • Prepare reports, presentations, and correspondence as needed.
    • Maintain the office calendar and organize travel arrangements for speaking engagements and meetings.
    • Attend leadership meetings and take minutes.

    Database Management:

    • Maintain and update donor and contact information in the CRM database (experience with donor databases is a plus).
    • Track and generate reports on donations, outreach efforts, and other key metrics.
    • Ensure data accuracy and assist with database cleanup and organization.

    Event Planning:

    • Assist with planning and coordinating events, such as fundraisers, board meetings, and donor engagements.
    • Manage event logistics including RSVPs, vendor coordination, and promotional materials.
    • Provide on-site or virtual event support to ensure successful execution.

    Administrative Tasks:

    • Manage general office administration, including filing, organizing digital assets, and ordering supplies.
    • Support fundraising efforts by preparing mailings, acknowledgments, and donor materials.
    • Answering phone calls, responding to emails, and providing information.
    • Perform other duties as assigned to support the organization’s goals and operations.

    Bookkeeping

      • Record financial data in QuickBooks and reconcile monthly statements and payments.
      • Review invoices for proper documentation and process payments.
      • Provide financial reports and updates to the CEO and finance committee
      • Support special reports, such as the annual audit.

    Human Resources

      • Manage and update employee records, benefits, and payroll.
      • Ensure compliance with employment laws and company policies.
      • Track employee PTO and other HR-related activities.

    Qualifications:

    • Prior experience in administrative roles, preferably within a nonprofit setting.
      • Familiarity with bookkeeping, account reconciliation, and QuickBooks.
    • Strong organizational skills, with the ability to manage multiple tasks and deadlines.
    • Proficiency in Microsoft Office Suite, Google Workspace, and CRM or donor management systems.
    • Excellent written and verbal communication skills.
    • Proactive and resourceful, with a willingness to learn and adapt.
    • The ability to work collaboratively in a mission-driven environment.
