    JOB SUMMARY:

    The Administrative Specialist provides comprehensive administrative support to the Assistant NCRD Secretary and the Advancement Department.

    Provides administrative support for the Assistant NCRD Secretary and the Advancement Department, including making travel arrangements as requested, processing expense reports and voucher requests, and preparing presentations and special reports as required.

    Provide administrative support for major projects led by the Assistant NCRD Secretary, including but not limited to, the CRD Commission, national conferences, national Red Kettle Kickoff, national partnerships, special events and SAWSO.

    Serves as section support in the areas of processing and answering mail/telephone calls requesting assistance or having questions, concerns and complaints, including requests for emergency assistance, seasonal assistance, or concerns/complaints or questions regarding Salvation Army units or personnel. Forwards messages to appropriate Salvation Army management throughout the United States.

    Supports all sectional needs in completing all NCRD projects as assignedby the Assistant NCRD Secretary, such as preparation of materials for National Advisory Board meetings as needed. Helps manage departmental calendars and supports the coordination of the section.

    Processes incoming and outgoing departmental mail from/to mailroom, sorting and distributing in departmental mailboxes, and packages to proper offices.

    Serves as back up to Operations Administrative Specialist on tracking gifts from NAB members, coding vouchers, and keeping the work room organized and well-stocked. Provides back-up to the part-time administrative specialist to ensure that thank you letters are timely and accurate.

    OTHER RESPONSIBILITIES:

    Provides administrative support as requested by members of the NCRD Leadership Team.

    Answers telephone calls and responds to inquiries in a courteous and tactful manner while providing information on NCRD services and operations as well as with other NHQ departments and Salvation Army units.

    Serves as the backup​ for front desk coverage as needed per the Front Desk and Mail Room Coverage policy. The Receptionist greets, assists, and provides direction and information to clients, visitors, and other guests of the organization and assists callers and visitors by answering questions and directing calls appropriately.

    Composes correspondence relating to responsibilities over the signature of the NCRD Secretary or Assistant NCRD Secretary, as may be appropriate or specifically requested.

    Perform other work-related duties as assigned.

    MINIMUM QUALIFICATIONS REQUIRED:

    EDUCATION AND EXPERIENCE:

    Associate degree in a business or related field

    or

    High school diploma or GED equivalency

    And

    At least four years’ experience working in an office environment performing a wide variety of progressively responsible administrative support work characteristic/unique to the office/section’s purpose,

    or

    any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

    LICENSES AND CERTIFICATIONS:

    Valid U.S. Driver’s license preferred.

    KNOWLEDGE, SKILLS AND ABILITIES:

    Proficient in multiple computer software applications utilized in this role, including Microsoft Word, Excel, PowerPoint, Outlook, Teams. Proficient in or able to learn database systems such as Salesforce.

    Ability to integrate, analyze and interpret data from various sources.

    Knowledge of the principles and practices particular to the section’s administration.

    Ability to establish and maintain a variety of filing systems (paper and electronic) to ensure timely retrieval of information upon request.

    Excellent knowledge of English grammar, spelling and punctuation.

    Ability to build and maintain effective and professional relationships with sectional staff as well as NHQ staff and Salvation Army personnel throughout the territories and divisions.

    Level of Language Proficiency

    Excellent knowledge of English grammar, spelling and punctuation.
