Position Overview:
The World Science Festival (WSF) seeks a results-driven Media Manager who will be responsible for media from end to end. This position will work with the Supervising Producer to ensure safe, effective and timely movement of media and oversee schedules to ensure it.
As the Media Manager, you will be responsible for overseeing and organizing our extensive library of digital assets, including video, audio, images, and other multimedia content. You will work closely with our media team and external stakeholders to ensure assets are properly archived, tagged, and distributed in an efficient and accessible manner.
This is an in-office role.
Key Responsibilities:
The Media Manager will:
- Consult on overall media workflow, from shooting through archiving
- Act as the point of contact for the Media department’s Airtable needs
- Manage and keep track of all WSF media, including camera footage, stock footage, original GFX and animations, final edited video masters, projects and related materials.
Production:
- Assist in designing and implementing standardized ingest and delivery workflows for digital media assets, ensuring consistent file management, backup, and transfer protocols across all productions.
- Serve as internal DIT (Digital Imaging Technician) during video productions, including both pre-recorded shoots and live events.
- Provide remote support and technical guidance to on-site DITs to ensure proper execution of established media workflows during field shoots and live events.
- Coordinate with Directors of Photography (DPs) and camera operators to communicate and confirm technical specifications, including recording formats, codecs, resolutions, and other media-related requirements.
- Set up folder structure for DITs.
- Transfer footage from shoots to WSF server
Post production:
- Coordination with Editors to ensure all relevant media is ready for the edit.
- Oversee or perform transcode of media to support editing and production needs (proxy and dailies creation, etc.)
- Review and ensure that videos meet all technical, visual, and content standards before being uploaded to YouTube
- Working understanding of which video formats and compression methods (codecs) are best suited for different types of content, platforms, or delivery scenarios
Oversee and Maintain WSF's media archive, including:
- Backing up raw footage and final masters to our multiple archival destinations (LTO, Google Drive, etc.)
- Tracking and maintaining the organization of media assets across multiple hard drives, ensuring accessibility and proper documentation.
- Backing up WSF footage from previous years and keeping it up to date and accessible.
- Keeping storage solutions current, and consulting on purchases as needed (LTO systems, hard drives, cloud-based services, etc.)
- Actively managing all storage- both on hard drives and cloud storage- moving, deleting, consolidating files, etc.
Maintain and improve WSFs Airtable database system:
- Tagging media with relevant keywords for archival searching.
- Track and log newly shot footage as part of the ongoing archival process, ensuring all content is properly tagged, organized, and preserved.
- Incorporate archival footage from previous WSF productions into the media asset management system, applying consistent metadata and tagging for streamlined access and reuse.
- Train staff in proper media workflow and Airtable usage.
Other Responsibilities:
- Provide assistance in sourcing archival media (and rights management) as needed
- Creation of and documentation of media processes related to overall department and individual projects.
- Assist in the delivery of final deliverables if needed.
- Troubleshooting any technical issues with the DAM systems.
- Ensure that media assets meet technical specifications for quality and consistency.
- Additional duties as assigned to support the Media Department
Qualifications And Special Requirements:
- Bachelor’s Degree in Library Science preferred
- 5 years of experience with media management workflows for video production and post-production environments
- 2 years of DIT experience in the field
- Working knowledge of current archival software and practices, including AI-implementations (including LTO and cloud storage solutions)
- Working knowledge / experience with Airtable database management
- Working knowledge of post production software (Adobe, Frame IO, etc.)
- Strong attention to detail and ability to ensure metadata accuracy.
- Excellent communication and interpersonal skills, with the ability to work collaboratively across departments.
- Problem-solving skills to address technical issues related to digital assets.
