    Position Overview

    The New York Society for Ethical Culture is a community dedicated to ethical living and social justice since 1876.     The Administrative Coordinator plays a central support role across the organization, helping ensure that daily office operations run smoothly and that meetings, events, and programs are well supported. This role is well suited to someone who enjoys juggling multiple priorities, keeping things organized, and being a steady, friendly presence in a busy community setting.

    Key Responsibilities

    General Office & Administrative Support

    • Schedule and book meeting rooms; provide logistical support for meetings and internal events, including ordering food
    • Create and distribute daily building schedules
    • Coordinate maintenance work lists in collaboration with the Facilities Manager
    • Maintain inventory of office supplies and kitchen items
    • Receive, sort, and distribute incoming mail; prepare outgoing mail
    • Respond to general inquiries about the Society and its programs via phone and email

    Events & Rentals Coordination

    • Process room reservations for long-term rental partners
    • Prepare rental agreements using established contract templates
    • Schedule event staff, including security and house managers
    • Support the Rental Manager with invoicing and tracking payments

    Marketing, Communications, and Membership Support

    • Draft and send email communications using Constant Contact
    • Update the website calendar with upcoming programs and events
    • Create simple event posters and promotional materials using Canva
    • Assist in maintaining the Society’s membership and fundraising database

    Qualifications & Skills

    • Experience in an administrative, office coordination, or operations support role
    • Demonstrated ability to manage competing priorities and meet deadlines
    • Proficiency with Microsoft Word,Excel, and Google Workspace
    • Familiarity with Canva required
    • Experience with WordPress,Constant Contact, NeonCRM, or similar platforms preferred
    • Strong organizational skills, attention to detail, and a collaborative, service-oriented approach
    • Alignment with the Society’s mission and values

    Working Style & Environment

    This role involves regular interaction with staff, members, and event partners. The ideal candidate is very well organized, adaptable, and comfortable shifting between tasks throughout the day, while maintaining a calm and welcoming demeanor.

    This is an on-site position based in New York City and requires a regular in-person presence at the Society’s building. Some evening or weekend hours may be required to support events.

    Compensation & Benefits

    The salary range for this position is $52,000–$58,000 annually, commensurate with experience. The New York Society for Ethical Culture offers a comprehensive benefits package.
