    Reports to: Executive Director

    Status: Full-Time, Exempt

    Salary Range: $55,000–$60,000

    Location: Missouri-based preferred; hybrid/remote considered

    Organizational Context

    Missouri Energy Initiative (MEI) recently completed a year-long strategic planning and rebranding effort and is preparing to relaunch the organization in its 16th year. MEI is entering a new phase focused on expanded engagement, clearer storytelling, and stronger digital systems supporting membership, conferences, and policy education.

    This role is a unique opportunity to help bring MEI’s updated strategy and brand to life in an engaging, modern, and credible way across digital platforms, events, and stakeholder communications.

    Position Summary

    The Communications Coordinator leads MEI’s communications strategy and execution across digital platforms, events, membership, and stakeholder outreach. This role requires a professional who can think strategically, execute independently, and work comfortably with modern communications technologies.

    The position blends strategy, content creation, technical system configuration, and project management. The Communications Coordinator is expected to perform hands-on technical work within communications systems while coordinating with contractors for larger-scale or enterprise-level technical efforts. This is not a purely tactical role. The Coordinator is expected to propose solutions, plan campaigns, manage systems, and deliver results.

    Core Responsibilities

    Strategic Communications

      • Develop and manage annual and 90-day communications plans aligned with MEI’s strategic goals.
      • Translate the strategic plan and rebrand into messaging, campaigns, and storytelling.
      • Use analytics to evaluate performance and adjust tactics.
      • Advise leadership on communications strategy, timing, and audience engagement.

    Content & Digital Marketing

      • Write, edit, and publish content for websites, newsletters, social media, email campaigns, and reports.
      • Lead production of major deliverables such as the MEI annual report and conference materials.
      • Produce graphics using Canva and coordinate advanced design work with contractors.
      • Use AI tools responsibly to support drafting, editing, optimization, and workflow efficiency.

    Technical Systems & Automation (In-Role)

    The Communications Coordinator is expected to perform hands-on technical work, including:

      • Configure and manage CMS platforms (e.g., Wix, Wild Apricot), including templates, page structure, forms, and embedded content.
      • Build and maintain CRM-driven email campaigns, audience segmentation, and automated workflows.
      • Create and manage Zapier automations connecting forms (Asana, Form Assembly), CRM (Salesforce), event registration, and reporting tools.
      • Build and maintain HTML email templates and landing pages.
      • Configure webinar and virtual event platforms (Zoom and similar tools).
      • Administer user roles and permissions across communications platforms.
      • Troubleshoot system issues within communications platforms and resolve or escalate appropriately.

    Advanced Technical Work (Contractor-Supported)

    Larger-scale or high-risk technical work may be handled in collaboration with contractors or IT support, including:

      • Custom software or web application development
      • Major website rebuilds or platform migrations
      • Advanced CRM architecture redesigns
      • Complex, multi-system automation with financial or operational risk
      • API-level integrations, custom webhooks, and enterprise IT infrastructure

    The Communications Coordinator is responsible for scoping needs, coordinating vendors, testing deliverables, and ensuring successful implementation.

    CRM, Membership & Sponsorship Communications

      • Manage CRM-based communications supporting membership growth and retention.
      • Support sponsorship outreach and stewardship through targeted communications and reporting.
      • Maintain forms, registrations, and membership data in CRM systems.

    Events, Webinars & Conferences

      • Plan and execute communications for MEI events, including the MEI annual conference, roundtables, webinars and NAPPA conference and events.
      • Build and manage event communications timelines.
      • Coordinate speaker and sponsor communications.
      • Conduct technical run-throughs and manage routine AV setup for virtual and in-person events.
      • Participate in sponsor and attendee outreach.

    Project Management & Documentation

      • Manage communications projects using Asana and related tools.
      • Maintain editorial calendars and task tracking.
      • Document workflows, templates, automations, and systems for continuity.

    Tools & Technologies Used

      • CRM & Email: Salesforce, HubSpot, Wild Apricot, FormAssembly, BeeFree, MailChimp
      • Automation: Zapier (moderate complexity)
      • Project Management: Asana, Airtable
      • Collaboration: Box, Google Workspace
      • Web & Design: CMS platforms (Wix or comparable), Canva, HTML email editors
      • Events: Zoom, webinar platforms
      • Analytics: Dashboards, Google Sheets, reporting tools
      • AI: AI-assisted content and workflow tools

    Qualifications

    Required

      • Bachelor’s degree or equivalent experience.
      • 4–7 years in communications, marketing, or digital strategy roles.
      • Demonstrated ability to think strategically and execute independently.
      • Strong writing, editing, and content creation skills.
      • Hands-on experience with CRM systems and automation tools.
      • Comfort managing technical systems and troubleshooting issues.

    Preferred

      • Experience in nonprofit, energy, policy, or membership-based organizations.
      • Experience supporting conferences and multi-stakeholder events.
      • Experience contributing to a rebrand or organizational relaunch.

    This role is not: a junior assistant position or a pure IT/developer role.
