    Overview

    Los Cenzontles Cultural Arts Academy, based in San Pablo, CA, is an innovative arts organization amplifying the roots of Mexican-American culture through classes, events, media production and performances.

    Los Cenzontles has been breaking cultural barriers and creating groundbreaking programming for thirty-six years. The organization has attracted attention and strong support from Bay Area philanthropists and celebrities such as Linda Ronstadt, David Hidalgo (Los Lobos), and Jackson Browne, among many others. As a leading voice for the importance of incorporating cultural arts in community building and youth development, its Executive Director, Eugene Rodriguez, is regularly invited to speak at conferences and is helping to shape the national dialogue around culture and the equitable dispersal of resources.

    Los Cenzontles seeks an office manager with strong finance, and operational skills who wants to build on the organization’s success and move the organization forward into the next stage of its development.

    Responsibilities

    • Management of organizational and financial operations:
    • Manage bookkeeping, accounts payable/receivable, inventory, and banking.
    • Oversee expense process, categorize expenses, and maintain petty cash accounting.
    • Coordinate the receipt and documentation of donations.
    • Manage and oversee relationships with external vendors.
    • Manage office functions, including supplies and equipment.
    • Coordinate with the organization’s accounting consulting firm.
    • Lead the annual budgeting process that continues the Center’s strong financial management.
    • Create and maintain project budgets.
    • Manage merchandise fulfillment, artist royalties, and music/film copyright licensing.
    • Work with accounting consultants to prepare financial reports and projections, and maintain financial dashboard, for the board, executive staff, and funders, as needed.
    • Support the Board of Directors, including scheduling and organizing board meetings and distributing materials.
    • Prepare financial documentation and materials for grant applications and reports.
    • Prepare and manage the organization’s annual compliance calendar, and process required fees and permits as needed.
    • Assist with internal and external events as needed.

    Human Resources (staff of 13):

    • Manage onboarding of new employees.
    • Maintain and update organizational policy and personnel handbooks (with Executive Director approval.)
    • Oversee employee benefits, including payroll processing, and program-area class allocation.
    • Prepare, review and monitor contracts (including artist contracts) ensuring accuracy, compliance with organizational policies, and clarity of terms prior to Executive Director approval.
    • Administer and renew organizational insurance policies, including health, directors and officers (D&O), general liability, property, and life insurance.
    • Support the organization’s bi-annual audit process by preparing documentation, coordinating with auditors and accounting consultants, and ensuring timely responses to requests.

    Areas of responsibility include (but not limited to)

    • Financial oversight
    • Board support (with Executive Director)
    • Oversight of consultant relations
    • Management of HR functions

    Experience

    • Experience in nonprofit office management and bookkeeping
    • Strong written and spoken communication skills
    • Strong interpersonal skills and professional demeanor
    • Ability to balance attention to detail with big-picture thinking
    • Ability to multi-task in a deadline‐driven environment
    • Sensitive to organizational culture
    • Reliability, integrity
    • Proficient in QuickBooks, Salesforce, and Excel
    • Comfort with disagreement and ability to resolve conflict
    • Self-reliant but also open and collaborative

    This position is 24 hours/week, with occasional evenings and weekends for events.

    Compensation package: $50K/year, DOE, plus generous health and retirement benefits.
