    Programs Coordinator

    Ms. JD is seeking a detail-oriented, highly organized, and mission-aligned Programs Coordinator to support the development, coordination, and delivery of our signature programs and learning experiences. This role is responsible for managing speaker relations, content coordination, CLE compliance, participant communications, and program materials across Ms. JD's virtual and in-person offerings—including the LaddHer Up Retreat, Limitless Awards & Gala, Determined to Rise Academy, webinars, and additional initiatives that support women throughout the pipeline in the legal profession.

    This role requires strong coordination skills, comfort managing multiple stakeholders, and a passion for creating impactful learning experiences that advance Ms. JD's mission.     Position Description

    The Programs Coordinator supports the planning, coordination, and execution of high-quality, mission-aligned programs and learning experiences. This role manages the operational details that bring program content to life—from speaker coordination through participant follow-up—ensuring each experience is seamless and impactful. The ideal candidate is highly organized, proactive, and comfortable managing multiple projects and stakeholder relationships simultaneously.

    Key Responsibilities:

    Speaker & Content Coordination

    • Coordinate all aspects of speaker management, including outreach, confirmations, bios, headshots, presentations, and logistics.
    • Support speaker sourcing and vetting processes; maintain speaker database and track potential future speakers.
    • Collect, organize, and prepare program content and materials, including slide decks, handouts, and digital resources.
    • Coordinate content review and approval processes with the Senior Director of Programs & Development.
    • Research and recommend timely, relevant program topics aligned with Ms. JD's mission and audience needs.

    CLE Administration & Compliance

    • Manage CLE accreditation applications, tracking, and reporting across multiple jurisdictions.
    • Ensure all program materials and documentation meet CLE compliance requirements.
    • Coordinate certificate distribution and maintain accurate attendance records for CLE purposes.
    • Stay current on CLE requirements and best practices across key jurisdictions.

    Program Operations & Participant Experience

    • Manage participant communications, including registration confirmations, pre-program information, and post-program follow-up.
    • Support registration processes and maintain accurate participant data; generate registration reports and rosters.
    • Develop and distribute participant surveys; compile feedback and prepare summary reports.
    • Coordinate participant materials, name badges, welcome packets, and program guides.
    • Support the execution of virtual programs, including webinar setup, tech checks, run-of-show coordination, and live event support.

    Cross-Functional Collaboration

    • Partner with the Events & Experiences Manager to align program content with event logistics, run-of-show, and participant journeys for in-person programs.
    • Collaborate with the Development Coordinator to ensure sponsor recognition and activations are integrated into program delivery.
    • Support communications and marketing efforts by providing program content, speaker information, and promotional materials.
    • Coordinate with external partners, co-hosts, and collaborating organizations on joint programming initiatives.

    Data, Reporting & Administration

    • Track program metrics, including attendance, engagement, satisfaction scores, and CLE credits awarded.
    • Maintain organized program files, templates, and documentation for all initiatives.
    • Support post-program debriefs and contribute to continuous improvement efforts.
    • Assist with program budget tracking and expense documentation.
    • Other duties as assigned.

    Qualifications:

    • 5+ years of professional experience in program coordination, event planning, nonprofit administration, or related roles.
    • Proven ability to manage multiple projects, deadlines, and stakeholder relationships simultaneously.
    • Excellent organizational skills, attention to detail, and follow-through.
    • Strong written and verbal communication skills—comfortable corresponding with speakers, partners, and program participants.
    • Proficiency with virtual meeting platforms (e.g., Zoom, Teams), project management tools (e.g., Asana), and Google Suite.
    • Ability to problem-solve, anticipate challenges, and adapt quickly in a fast-paced environment.
    • Commitment to Ms. JD's mission of supporting women in law and fostering equity in the profession.

    Preferred:

    • Experience with CLE administration or continuing education programs
    • Experience in the legal sector, women's leadership organizations, or professional associations
    • Familiarity with learning design or adult education principles
    • Experience coordinating virtual or hybrid programs

    Position Details:

    • Reports to: Senior Director of Programs & Development
    • Collaborates with: President & CEO; Events & Experiences Manager; Development Coordinator; Executive Assistant
    • Location: This position is fully remote and open to employees in all U.S. locations, with the exception of Washington State.
    • Travel: Occasional travel for flagship programs and events (approximately 6-8 times per year)

    This is a full-time exempt position. The salary range for this position is $60,000-$72,000 and is commensurate with experience. Benefits include up to 16 weeks of paid parental leave, five weeks of paid time off and 11 paid holidays.

    Probationary Period:

    This position is subject to a six-month probationary period. During this time, the employee's performance, skills, and alignment with organizational needs will be evaluated. Successful completion of the probationary period will be required for continued employment.
