    Position Summary

    The Administrative Assistant provides administrative and clerical support to the organization and provides excellent customer service to clients and visitors.

    Responsibilities

    • Welcomes visitors, determines their needs, and provides direction and information.
    • Answers, screens, and routes incoming calls and takes messages when needed.
    • Receives, sorts, and routes mail.
    • Prepares written correspondence and maintains files.
    • Event support and coordination with managing event schedule, coordinating set ups and clean ups and executing facility use proposals and agreements.
    • Maintains inventory of office and rental supplies and assists with coordinating maintenance of office equipment.
    • Assists with coordinating and scheduling of facilities maintenance, cleaning/janitorial needs and repair projects.
    • Create, update and maintain vendor files
    • Receive, code and submit invoices for payment
    • Provides mentorship and guidance to YWCA interns and ensures their work is accurate.
    • Creates and updates materials and projects for YWCA interns and oversees their completion.
    • Receives donations for Your Sister’s Closet and Project Period.
    • Acts as a liaison between YWCA staff and Your Sister’s Closet volunteers and responds and helps to resolve their questions and needs.
    • Plan and coordinate internal events.
    • Responds to and resolves administrative questions.
    • Provides excellent customer service to staff, Board members, volunteers, and guests.

    Knowledge, Skills, and Abilities

    • Excellent written and verbal communication skills.
    • Excellent interpersonal and customer service skills.
    • Excellent computer skills and proficiency with Microsoft Office programs.
    • Excellent organizational skills and attention to detail.
    • Ability to maintain confidential and sensitive information.
    • Ability to work independently.

    Minimum Qualifications

    • High school diploma or equivalent
    • 2 years of clerical or administrative experience
    • Bilingual (English-Spanish)

    Preferred Qualifications

    • Associate degree
    • 3 years of administrative or clerical experience

    Working Environment

    Currently, the YWCA is contributing the equivalent of 10.5% of each eligible employee’s salary. The

    contributions made by the YWCA do not require a match from the employee.

    Level of Language Proficiency

    English and Spanish professional working proficiency or higher is required for this position. This employee will speak with people in both languages on a daily basis, as well read and write in both languages.
