POSITION SUMMARY: Gift and Grant Administrator
The Gift and Grant Administrator will bring a highly responsive, detail-oriented, donor-focused approach to processing gifts to and grants from ACF funds. The Administrator will provide support to a wide range of development priorities including annual appeals, grant catalogs, and community engagement events.
The Administrator reports directly to the Vice President and Chief Philanthropy Officer and collaborates closely with the Development and Operations Manager and other team members.
MAJOR RESPONSIBILITIES:
- Gift Entry and Acknowledgment Processing
- Record all contributions to Foundation funds in the Foundant database and generate timely and accurate donor acknowledgment letters in coordination with the Development and Operations Manager.
- Identify and capture pertinent information during gift entry process, updating records within the database to preserve data integrity, reflect donor preferences and ensure the confidentiality of gift and constituent records.
- Serve as a point of contact for donors extending gratitude and providing assistance as needed.
- Grant Processing
- Process all grants from donor advised funds, field of interest funds, and designated funds in the Foundant database.
- Ensure fundholder preferences, including anonymity and specific gift designations, are clearly communicated to the grantee.
- Serve as a point of contact for fundholders who have questions regarding grants from their funds.
- Data Management
- In collaboration with the Development and Operations Manager, maintain accurate constituent records in the Foundant database in order to support moves management, reporting and integration with our communications system.
- Manage communication preferences for constituents and produce query-based lists for external communications.
- General Development Support
- Assist in the implementation of annual fundraising campaigns and grant catalog opportunities.
- Provide logistical support for Community Foundation events to include securing venues, producing event invitations, working with caterers, sending event-related communications, and day of event support.
- Act as an administrative liaison for ACF’s Board of Trustees.
PREFERRED QUALIFICATIONS:
- Deep interest in and commitment to the role of the Community Foundation and philanthropy in improving the quality of life in Arlington
- Superior attention to detail with an ability to organize and prioritize work and manage multiple priorities simultaneously.
- Minimum of 2 years of related work experience required.
- Experience in planning and executing events preferred.
- Computer proficiency including knowledge of Microsoft Office, CRM software (familiarity with Foundant preferred) and a willingness to learn all appropriate Community Foundation software.
- Strong interpersonal and written communication skills.
- Ability to work independently, take initiative, participate as an effective team member and follow tasks through to completion.
- Superior customer service skills to external and internal constituents.
- Excellent listening skills, follow-through and problem-solving abilities.
TIME REQUIREMENT
- This is a full-time, exempt position requiring 37.5 hours per week plus occasional early and late hours for meetings onsite and offsite. Work hours are 9:00 a.m. to 5:00 p.m. with flexibility and work-from-home options after 90 days of employment.
