Position Title: Accountant - Part Time

Position Summary
The Part-Time Accountant (20 hours per week) is responsible for maintaining accurate financial records and ensuring the fiscal health of the organization. This role supports grant budgeting and reporting, prepares financial reports for staff and the Board of Directors, and ensures compliance with nonprofit accounting standards. The ideal candidate will bring strong attention to detail, sound judgment, and a collaborative spirit to a mission-driven environment.
Key Responsibilities
Financial Management
- Maintain and reconcile all financial accounts, including checking, savings, and investment accounts.
- Record all transactions accurately in the organization’s accounting system.
- Conduct monthly reconciliations with Development staff to ensure accounting system is reconciled with Safesforce.
- Oversee accounts payable and receivable processes; ensure timely payments and deposits.
- Prepare and analyze monthly, quarterly, and annual financial statements (balance sheet, income statement, cash flow).
- Support payroll processing utilizing Bamboo and reconcile payroll data with accounting records.
Budgeting and Grants
- Develop, monitor, and manage budgets for individual grants and organizational operations.
- Collaborate with staff during the grant proposal process to ensure accurate and compliant budgets.
- Track and report on grant expenditures to ensure compliance with funder and grantor requirements.
- Prepare periodic financial reports for grantors, including budget-to-actual and allowable cost documentation.
- Maintain organized financial documentation for restricted and unrestricted funding sources.
Reporting and Analysis
- Prepare monthly and quarterly financial reports for the Board of Directors.
- Provide financial summaries and dashboards for staff to support program and operational decision-making.
- Conduct cash flow projections, variance analyses, and other ad-hoc financial reports as needed.
- Support leadership in the annual organizational and departmental budget development process.
Compliance and Controls
- Ensure compliance with GAAP and nonprofit accounting standards.
- Maintain internal controls to safeguard assets and ensure accurate financial reporting.
- Support the annual audit process and coordinate with external auditors and the finance committee.
- Ensure timely filing of all financial documents, including Form 990 and state charitable registrations (as applicable).
- Maintain proper financial documentation and retention practices for all transactions and grant-related records.
Advisory and Administrative Support
- Advise leadership on financial implications of strategic or programmatic decisions.
- Collaborate with Development staff to ensure accurate recording of contributions and restricted funds.
- Recommend process improvements for financial systems and reporting efficiency.
- Manage vendor relationships and review contracts for fiscal terms and compliance.
- Provide staff with budget training or clarification as needed.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (CPA or nonprofit accounting experience preferred).
- Minimum 3–5 years of accounting experience; nonprofit experience strongly preferred.
- Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Excel. Salesforce experience is a plus.
- Strong understanding of GAAP and nonprofit fund accounting principles.
