    Description

    The Executive Assistant and board liaison provides high-level administrative, project management, and governance support to the CEO and the Board of Directors. This role is critical to the smooth functioning of executive operations and board governance, serving as a trusted partner to executive leadership and a key point of coordination for board activities.

    The ideal candidate is proactive, highly organized, and comfortable managing complex priorities in a nonprofit environment. Experience using Asana is required to manage executive workflows and projects. PMP certification and Salesforce experience are preferred and will support success in this role.

    Duties/Responsibilities

    Executive Support

    • Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, travel arrangements, and expense tracking
    • Prepare agendas, briefing materials, reports, and presentations
    • Anticipate executive needs and proactively manage competing priorities
    • Handle sensitive and confidential information with discretion and professionalism

    Board Governance & Liaison Responsibilities

    • Serve as the primary liaison between executive leadership and the Board of Directors
    • Coordinate all Board and Committee meetings, including scheduling, logistics, and materials
    • Prepare, distribute, and archive board packets, agendas, and meeting minutes
    • Track board actions, resolutions, and follow-up items to ensure timely completion
    • Support governance compliance, including bylaws, policies, and annual board calendars
    • Assist with board onboarding, training, and annual board retreats

    Project & Workflow Management

    • Manage executive and organizational projects using Asana (required)
    • Track deliverables, deadlines, and action items across leadership and board initiatives
    • Support cross-functional projects and ensure alignment with organizational goals
    • Apply project management best practices; PMP certification preferred

    Communication & Coordination

    • Act as a liaison between executives, staff, board members, partners, and external stakeholders
    • Draft and manage professional correspondence and internal communications
    • Support inclusive, clear, and timely communication across all levels of the organization

    Systems & Data Support

    • Maintain organized digital filing systems and documentation
    • Update and manage CRM records; Salesforce experience preferred
    • Support process improvement initiatives to enhance efficiency and consistency
    • Check processing including bank depositing, coding and entering deposits into tracking systems

    Qualifications:

    • Bachelor’s degree preferred but not required with relevant experience.
    • 2+ years of experience as an assistant, preferably within the nonprofit or philanthropic sector.
    • Demonstrated commitment to the principles of inclusion and working with diverse
    • Proven track record of using AI ethically and responsibility
    • Experience with virtual workplace tools such as Office365 – SharePoint, Teams, and Slack
    • Ability to work independently and collaboratively in a remote team environment.
    • High attention to detail and ability to manage multiple tasks concurrently.
    • Proven experience as an Executive Assistant or Administrative Professional
    • Strong experience using Asana for task, project, and workflow management
    • Exceptional organizational, time management, and prioritization skills
    • Excellent written and verbal communication skills
    • High level of professionalism, discretion, and attention to detail
    • Ability to work independently in a fast-paced, mission-driven environment
