    Development Coordinator

    Full-time (40 hrs/week)

    Reports to: Director of Development

    Location: Miami, FL (Hybrid)

    Status: Full-Time, Exempt

    Position Summary

    The Development Coordinator plays a vital role in advancing The CLEO Institute’s fundraising and donor stewardship efforts by ensuring the accuracy, integrity, and efficiency of all development data systems, and processes. This position supports the daily operations of the fund development department by managing gift processing, acknowledgments, donor communications, reporting, and prospect tracking. The ideal candidate is highly organized, detail-oriented, and motivated by supporting the behind-the-scenes functions that fuel successful fundraising.

    Key Responsibilities

    Gift Processing & Acknowledgment (40%)

    • Process all incoming gifts and pledges (checks, credit cards, online donations, and wire transfers) in the donor database accurately and promptly.
    • Generate acknowledgment and tax receipt letters within established turnaround times.
    • Maintain documentation and ensure compliance with financial and audit standards.
    • Work closely with the finance department to reconcile donations and produce monthly reports.

    Database & Reporting (30%)

    • Maintain accurate and up-to-date donor and prospect information in the CRM.
    • Run regular reports and dashboards to track fundraising progress, campaign performance, and donor retention metrics.
    • Ensure proper coding of gifts, campaigns, and funds to support accurate reporting.
    • Support data imports, exports, and list segmentation for mailings and events.

    Prospect Management & Donor Stewardship (20%)

    • Assist with tracking donor moves, touchpoints, and cultivation activities.
    • Generate contact lists and prepare background summaries for donor meetings and events.
    • Support stewardship efforts by helping draft personalized acknowledgment and impact letters.
    • Maintain an organized digital filing system for donor records and communications.

    Administrative & Department Support (10%)

    • Assist with scheduling, meeting preparation, and follow-up for development activities.
    • Support fundraising events by providing donor lists, sponsorship tracking, and on-site coordination as needed.
    • Manage department supplies, mailings, and general correspondence.

    Qualifications

    • Associate’s or Bachelor’s degree preferred.
    • 1–3 years of experience in nonprofit fundraising, data management, or administrative support.
    • Strong proficiency with donor database systems (e.g., EveryAction, Salesforce, Raiser’s Edge, or similar).
    • Excellent attention to detail, accuracy, and organizational skills.
    • Strong written and verbal communication skills.
    • Ability to manage multiple priorities and meet deadlines.
    • Collaborative, proactive, and mission-driven mindset.

    Preferred Skills

    • Experience reconciling gifts with finance departments.
    • Familiarity with donor segmentation and mail merge functions.
    • Working knowledge of Microsoft Excel and Google Workspace.
    • Comfort with handling confidential donor information with discretion.
