    Parish Accountant and Administrator

    Church of St. Mary the Virgin, 145 West 46th Street, New York, NY 10036

    The Parish Accountant and Administrator is responsible for financial and administrative operations at the Church of St. Mary the Virgin. This role combines accounting duties like managing payroll, preparing financial statements, and monitoring budgets with administrative tasks such as office management, staff coordination, and communication with parish members and diocesan bodies. Key skills include accounting and office software proficiency, strong organizational abilities, and excellent communication and interpersonal skills.

    Accounting Responsibilities

      • Process twice monthly payroll for staff of seven, including submission of benefit contributions
      • File quarterly and annual federal and state payroll taxes
      • Coordinate with the diocese regarding their benefit offerings and administration
      • Manage accounts payable, including bill entry, payments, vendor relations, and corresponding entries
      • Manage accounts receivable, including credit card donation processing, donation deposits, and corresponding entries
      • Perform monthly bank account reconciliations
      • Manage the general ledger and monthly closings in accordance with GAAP
      • Prepare and analyze financial statements, including monthly Treasurer's reports for Board of Trustees
      • Assist in preparation of the annual operating budget and coordinate with auditors as needed

    Administration and Operations Responsibilities

      • Maintain daily office needs, including supplies, mail, walk-ins and phone inquiries
      • Assist board members and clergy with stewardship and other fundraising campaigns
      • Manage contracts and coordinate with third parties that rent space from the church, including 12-step groups, performing arts organizations, etc.
      • Coordinate the facility use schedule
      • Supervise and schedule sexton maintenance staff: 2 full-time and 1 part-time
      • Maintain office systems, coordinating with contracted tech support
      • In coordination with the church leadership monitor and manage facilities maintenance needs, including bid solicitation when needed, vendor coordination, and cost oversight

    Skills and Qualifications

      • Bachelor’s degree in accounting or equivalent field
      • Minimum 3–5 years related experience
      • Advanced skills with Microsoft Office suite
      • Strong analytical, problem-solving, and communication skills
      • Excellence at multi-tasking and prioritization
      • Poised, discreet, positive, organized, and detail-oriented
      • Experience with church database software a plus

    Logistics

      • This is an in-person, full-time exempt position with generous health/dental insurance, pension and other benefits
      • This position pays $75,000 – $85,000 annually, based on experience
      • Work hours are generally Monday through Friday, 9am to 5pm, but flexibility is required for occasional evening or weekend hours
