    CoachArt is a fully remote, mission-driven nonprofit providing experiences in arts, athletics, STEM and more to children impacted by chronic illness. We are a small, collaborative team that values clear systems, thoughtful operations, and work-life balance. This role offers the opportunity to take ownership of core development operations and donor data in an organization where your contributions are visible, impactful, and deeply connected to mission.

    We are seeking a Development Operations Associate to manage donor data, CRM systems, and core development operations. This individual-contributor role is ideal for someone with prior experience in Salesforce or another CRM who enjoys both hands-on execution and cross-team collaboration. The role is designed to scale based on experience. Candidates earlier in their careers will receive closer supervision and training, while more experienced candidates may take on greater ownership of systems and workflows.

    The Development Operations Associate will play a critical role in ensuring data integrity, donor stewardship, and smooth fundraising operations across campaigns, grants, and events.

    DEVELOPMENT RECORDKEEPING & INFRASTRUCTURE

    • Input, update and maintain accuracy of donor account, contact, and opportunity records in Salesforce
    • Partner with Operations Manager to reconcile revenue logs, including donation backups, to Salesforce
    • Optimize current Salesforce workflows and data hygiene in collaboration with Product Manager
    • Partner with Product Manager to oversee Salesforce integrations with Givebutter, Stripe, and any other payment processors
    • Create and manage campaigns and reports in Salesforce
    • Assist with operational tasks related to Grants management, including timelines for applications, reports, acknowledgments, etc.
    • Additional related duties may be assigned in support of development operations

    DONOR STEWARDSHIP & COMMUNICATIONS

    • Manage timely donor acknowledgments, receipts, and tax letters.
    • Partner with Operations Team to collect donor pledges
    • Support creation and scheduling of donor communications (email, mailings, impact stories, updates).
    • Oversee stewardship touchpoints for mid-level and broad-base donors
    • Execute mail merges, segmented lists, and personalization for campaigns.

    ANNUAL FUND, EVENT & CAMPAIGN SUPPORT

    • Coordinate logistics for annual campaigns, monthly giving, online fundraising, and peer-to-peer campaigns.
    • Pull prospect lists, segmentation files, and performance reports.
    • Track campaign progress and produce regular dashboards for leadership.
    • Support event logistics and follow-up (invitations, RSVPs, donor lists, post-event comms).

    PROSPECT RESEARCH & PORTFOLIO SUPPORT

    • Conduct preliminary research on new and existing donors, corporate prospects, and foundations.
    • Prepare briefings, background memos, and data pulls.
    • Maintain pipeline/tracking documents and move-management updates.

    CROSS-TEAM COLLABORATION

    • Serve as primary liaison with Operations on gift reconciliation, forecasting inputs, and revenue reporting.
    • Collaborate with Programs and Marketing to gather stories, photos, program metrics, and grant inputs.
    • Support the team with general administrative, scheduling, and project management tasks as needed.

    QUALIFICATIONS & EXPERIENCE

    • Experience working in Salesforce or other CRM
    • Proficiency in G-Suite
    • Excellent organizational and time management skills, with strong attention to detail
    • Demonstrated ability to work independently & function as a team member, problem-solver and strategic thinker
    • Professional demeanor with strong interpersonal skills and a collaborative, solutions-oriented approach
    • Great communication skills, both written and oral
